RetailMeNot is looking for an Executive Assistant (EA) to join our fast-paced team in sunny, downtown Austin. In this role, you will perform and handle complex technical and office administrative duties and support executives to whom you are assigned. Under minimal supervision and acting on your own initiative and direction, this position refines and prioritizes the executive’s day-to-day schedule, arranges travel, and additional responsibilities. You will manage the details of a highly confidential and critical nature and function efficiently and effectively in a fast and professional environment. In addition, you will handle cross-functional coordination between programs and departments.

Who You Are

  • Bachelor’s degree preferred
  • 6-8+ years of Administrative Assistant experience, preferably in the online media industry space
  • 4-5 years of experience supporting C-Level executives
  • Strong problem solving and analytical skills
  • Self-motivated and enjoys working in a dynamic environment
  • High-energy, organized, able to support cross-functional coordination and possess excellent judgment
  • Proficiency in Google applications and Microsoft Office, experience with Box, Lifesize Cloud a plus
  • Strong customer service skills, including verbal/written communication and problem solving skills
  • Problem solver, able to troubleshoot issues independently and drive them to closure
  • Great attention to detail, able to juggle and prioritize multiple tasks simultaneously
  • Flexible and comfortable in a fast-paced environment, dealing with ambiguity
  • Self-starter with solid sense of accountability and acute personal judgment
  • Ability to handle confidential information and raise issues when appropriate

What You'll Do

  • Manage and maintain the often hectic and complex daily schedule of assigned executive, ensuring that he/she is knowledgeable of his/her schedule 24 hours in advance.
  • Responsible for running on-time appointments and meetings and changing schedules when necessary
  • Analyze and anticipate the needs of the executive and his/her team - foresee potential roadblocks and take dedicated steps to foster smooth day-to-day operation of the department
  • Understand organizational policies and procedures necessary to guarantee appropriate decision-making protocols are followed
  • Manage travel arrangements and coordinate the pre-planning of trips with various internal functions; ensure all preparations are made for attendance at conferences and industry events
  • Manage all details of departmental and companywide offsite meetings, conferences and special seminars including “owning” all planning, budget management and staffing decisions
  • Process and maintain corporate and personal expenses
  • Read & analyze incoming memos, submissions, and reports to determine their significance and plan their distribution
  • Manage specific projects to enhance department visibility, including being responsible for the maintenance of the departmental Wiki page and making necessary changes and updates in a timely manner
  • Provide information in support of complex requests for department projects, programs, and/or events including research and record keeping
  • Support development and modification of presentations
  • Attend training classes to increase knowledge of software programs, company information, time management, and other skills as required
