POSITION SUMMARY:  A person taking on this position must have experience handling multiple phone lines and several extensions with high call volume.  In addition this person should have excellent in-person customer service skills. Other major responsibilities will include a variety of administrative tasks, some of which will require proficiency in computer programs such as Word, Excel, Outlook and Internet Explorer. The right candidate must have front office professionalism in both appearance and demeanor. He or she will have outstanding language skills and a strong, confident telephone manner.

REPORTS TO: Site Manager

RESPONSIBILITIES:   

  • Screen all incoming and outgoing calls
  • Maintain a great customer service relations atmosphere
  • Greet all clients and personnel warmly
  • Responsible for scheduling meetings; booking conference rooms
  • Sort and distribute incoming and outgoing mail & packages
  • Accurately record all transactions using our CRM software
  • Assist with day-to-day general administrative duties
  • Inventory and order all site supplies

COMPETENCIES:

  • Must have top-notch professional customer service skills
  • Ability to be multi task
  • Working knowledge of Microsoft office programs
  • Excellent organizational skills
  • Able to work as part of a team
  • Able to work individually with minimal supervision

PREREQUISITES:

Experience
  • Customer service
  • Clerical or Administrative experience preferred
  • Good telephone voice

Education

  • High School diploma or GED equivalent
