What you'll do at TrendKite:

  • Be the heart of TrendKite and the culture champion
  • Manage internal needs ensuring appropriate and timely execution of service requests such as facilities/maintenance issues and office supplies (we're open to letting you develop the request process)
  • Play a huge role in creating a fantastic, engaging, five star experience for your teammates, clients, and office guests
  • Oversee contracts and relationships with vendors who support day-to-day maintenance (e.g., Catering, Cleaning, etc.)
  • Tackle space planning for all teams including coordination and execution of all internal office moves
  • Assist in new hire onboarding to ensure all administrative tasks are executed in a timely manner and new hire materials and tools are in place
  • Assist in planning and execution of external recruiting and company promotional events
  • Manage vendor relations including proposal process through execution of purchase orders and invoice processing
  • Oversee property management services, including relationships with building management
  • Maintain security access system (badges) and make sure all new hires and terminations are kept up to date
  • Order and maintain a consistent level of office supplies, snacks/drinks and culture materials (t-shirts, company swag, etc.) as well as keep them organized
  • Assist with oversight of health and life safety systems including inspections and safety checks and managing Fire Warden and Emergency Evacuation programs
  • Ownership of mail and courier services and timely distribution
  • Planning and execution of internal events and culture initiatives (e.g. Team Lunches, Happy Hours, All-Hands, one of perks, etc.)
  • Provide support on special projects as requested by management
  • Implement systems to ensure smooth, scalable operation over time
  • Create and maintain budgets for office expenses
  • Maintain company seating and organizational charts
  • Work along alongside EA to ensure smooth execution of board meetings
  • Ownership of general company calendars (PTO, Holiday,etc.)
  • Management of company-paid parking program including issuance of existing and research of additional spaces as we grow
  • Partner with EA and recruiter to manage all aspects of travel for executive level candidates

What you bring to the table:

  • 2+ years in an office management role, ideally in startup or startup minded technology company- this isn't your first rodeo
  • 4 year Bachelor's degree
  • US Citizen or Permanent Resident (We will not sponsor at this time)
  • Relentless about details, unquestionably reliable, and passionate about people
  • You're fun to be around with a warm, personable demeanor and are approachable
  • You're adaptable and open to getting and giving honest, constructive feedback
  • You're not a pushover and can respectfully manage and prioritize employee requests (even wacky ones) and relay an appropriate message accordingly
  • You are dependable, on time, reliable, and you’re not afraid to get in the trenches and get your hands dirty to get things done
  • You are proactive, self-starting problem solver who doesn't need hand holding and you get excited by the prospect of working on a wide variety of projects
  • You’re meticulously detail-oriented, organized, in tune with your surroundings and able to pick up on the little things
  • Proactive vs reactive mindset who thrives in a fast-paced startup environment where your efforts make a substantial impact on the company's success
  • Experience working with audio visual (AV) and presentation systems
  • Tech Savvy with an understanding of Gmail/Google apps, Microsoft office programs and web-based platforms

Because you've excelled in this role already, you know Office Managers are busy bees, and have to be able and comfortable:

  • Doing a lot of walking around the office to take care of business needs
  • Occasionally lifting and/or moving items
  • Working under deadlines
  • Occasionally work weekend hours (ex. office move), after hours events (ex.holiday parties, recruiting events) or if any emergencies arise
