Scope:
Own all aspects of office and facilities management, financial, administrative and operational activities for the Sysco LABS team. Improve productivity, effectiveness, collaboration and communication through involvement in strategic initiatives and embodiment of company culture.
Essential Functions:
- Provide oversight and guidance of office and administrative projects. Consult with team members, stakeholders and leadership to optimize operations. Supervise building security systems, parking garage operations (i.e., validations), guest management and additional office related duties as required.
- Oversee daily office operations, ensuring the office is orderly and appropriately stocked with supplies, food and drinks. Resolve all office related issues that impede productivity.
- Provide executive assistance to leadership including prioritization and organization of duties, calendar management, meeting and travel planning, and expense reporting.
- Serve as the primary point of contact for all vendor relationships in the office including office maintenance and building contacts, catering and amenities, ancillary benefits and other vendors providing services to run the office. Oversee the invoice management and payment process for facilities and benefits.
- Manage corporate card for office and team related needs. Provide budgeting and expense related support to team members, where needed. File office expenses and submit expense reports on a regular cadence.
- Own new hire onboarding including presentation, coordination, tracking, training and communications. Maintain and deliver onboarding training materials.
- Contribute to and support cultural initiatives. Partner with culture champions and leaders to plan company celebrations and social events, both remote and in-person.
- Other duties as assigned.
Minimum qualifications:
- 3 years of administrative assistance experience, office management, or related field.
- Proficient with Microsoft Office Suite.
- Experience in a small, yet rapidly scaling technology organization.
Preferred qualifications:
- Bachelor’s degree in Business, Human Resources or related field.
- Experience with security and building management systems.
- Experience with budgeting and contract negotiation.
