Position Overview:
We have an exciting opportunity to support the executive team within our Marketing and Wholesale departments at Kendra Scott! Reporting to our Chief Marketing Officer, our Executive & Marketing Team Coordinator will support three of our Executive and Senior Leadership team members with administrative functions and operations. In addition to Executive & SLT support, this role will play an important role supporting the Marketing team across special projects. Our ideal candidate has a proven track record for providing superb executive-level administrative support and a drive for taking on responsibilities to allow greater productivity for others.
Responsibilities:
General
• Provides executive administrative support to CMO, VP of E-commerce & Customer Analytics and VP of Wholesale
• Maintains the highest level of confidentiality and discretion regarding all matters
• Schedules, maintains and communicates meetings, appointments, travel and appearances
• Accurately maintains all meetings and appointments with necessary information on individual calendars
• Communicates changes and priorities to all necessary parties promptly and accurately
• Communicates with team and key stakeholders on a regular basis to review schedules and ensure all meetings and appointments are captured and accurate
• Ensures all requested meetings have relevant and priority agendas
• Organizes and book all related reservations for meetings and appointments requiring domestic and/or international travel
• Professionally represents the team via phone, email and in person with internal and external individuals
• Promptly answer calls and respond to messages; be the voice of team as needed
• Manages expense reports and expense reimbursements through online procurement system
• Collaborates with office support team and department heads in preparation for Executive, Management meetings, including ordering and setting up equipment and or supplies as needed
• Implements plans to achieve departmental priorities
• Seeks to understand and support broader company objectives
• May guide others
Marketing Team Support
• Manages and communicates the marketing milestone calendar, including regular communication
with department heads to obtain and include all relevant information
• Records and distributes meeting notes and minutes as needed
• Collects information and prepares presentations for CMO
• Maintains appropriate files so they are available and organized if requested
• Completes special projects as assigned for the Marketing team
Our Ideal Candidate Will Have/Be:
• Bachelor’s degree or equivalent experience
• 3+ years’ experience providing executive support to VP and/or C-Level leadership at a high-growth company
• A proven ability to execute with consistent delivery and reprioritize based on evolving business needs
• Superb communication and interpersonal skills with ability to tailor communication to different audiences
• Proven collaborator who can interface with multiple teams to reach a goal
• Ability to maintain composure in a fast-paced environment
• Ability to flex and adapt with ever-changing priorities
• Superb organizational skills and attention to detail
• Strong critical thinking skills to work through challenges and/or scheduling conflicts and identify the best solution
• The ability to effectively prioritize tasks and multi-task efficiently
• Proficiency in multiple calendar platforms including iCal, Google Calendar and Outlook
• A strong ability to build cross functional partnerships and work collaboratively
• A growth mindset: desire to learn, grow and embrace new ideas
