Position Overview:
We have an exciting opportunity to support our marketing department in Austin, TX. Reporting to our Senior Marketing Project Manager, the Temporary Marketing Operations Coordinator will support the marketing department from an operational standpoint to ensure internal systems and processes are maintained, and goals are achieved accordingly, while also acting as a liaison between the department and key partners. The Temporary Marketing Operations Coordinator serves as a Project Coordinator for the marketing department and is a key contributor to the success of the team. This is a 6-month temporary role with opportunity to transition to a full-time hire.
Immediate Roles & Responsibilities:
• Assist Marketing sub-departments with all facets of the gifting process, including product upload, inventory management and order placement for jewelry pulls, product donations and gifting requests
• Manage and sustain internal gifting marketing process, via NuOrder, to ensure timely execution of orders
• Maintain all processes associated with the marketing gifting process, including cross-functional communication, data uploads and inventory management
• Alert team with any and all company updates related to marketing inventory management
• Manage and update the inventory transfer log and communicate to Planning team accordingly
• Keep close communication with Distribution Center to ensure timely order entry, ship windows and allocation of inventory. Manages the operational relationship.
• Organize and manage internal ordering of on-hand gifting inventory
Long Term Opportunities:
• Manage and sustain internal marketing systems (I.e. NuOrder, Basecamp, Marketing Request Form) to ensure streamlined processes amongst the team and ensure timely execution of projects
• Act as the touchpoint with external stakeholders, specifically for any external platforms the team utilizes
• Manage marketing collateral orders, as needed, for seasonal giftings
• Assists in coordination of miscellaneous project requests
• Facilitate support for marketing managers and their needs
• Acts as a liaison between the Marketing department and the Distribution Center, Planning, Allocation and Merchandising
• Attend relevant cross functional meetings with other departments to ensure operational needs are being supported and proactively identify potential roadblocks
• Keep calendar of marketing gifting initiatives updated and accurate, ensuring timely communication of upcoming seasonal buys and incoming purchase orders
Our Ideal Candidate Will Have:
• Bachelor’s degree or equivalent work experience
• 1-2 years' experience for a similar position with understanding of retail, marketing, manufacturing, e-commerce, and product allocation in a high-growth company
• Proficiency in Microsoft Excel
• A proven ability to execute with consistent delivery
• Excellent judgment and creative problem-solving skills
• The ability to manage competing priorities, cope with rapid change and calmly pivot when new, time-sensitive projects arise unexpectedly
• Results-oriented with emphasis on communicating results regardless of success or failure
• A proactive, results-oriented approach to project management with the ability to navigate ambiguity
• Excellent verbal and written communication skills
• Strong focus on company performance beyond individual goals
• Ability to adjust responsibilities based on changing business needs
