What You'll Do:
As an Administrative Assistant you will provide substantial administrative support to members of the Executive Team and the Senior Management Team. The role will include coordinating members of the Executive Team's schedule as well as supporting the operations of certain departments according to the direction of the Executive Team member(s) that you support.
Here's a closer look at this key role:
- Provide administrative and operational support to members of the Executive Team to plan travel, coordinate meetings, manage expense reporting, etc.
- Proactively manage Executive Team member(s) calendars to schedule meetings, ensure they remain on schedule, send reminders, and be point of contact for staff on availability, etc.
- Manage event logistics for Executive Team member(s) by coordinating catering, meeting spaces, etc.
- Handle various administrative tasks such as data entry, preparing reports and analyzing data; maintain strict level of confidentiality regarding customer and company information.
- Create and edit presentations as directed by Executive Team.
- Participate in meetings as directed by the Executive(s), prepare agendas, take meeting notes and add value where needed.
- Prioritize and manage communication between Executive(s) and functional teams, representing team objectives and communicating them effectively and clearly.
- Coordinate and execute team events as requested.
- Identify problems, develop solutions, and implement processes to increase business efficiency and enhance productivity.
- Support our Executive team(s) as needed to help achieve financial targets.
- Prepare content for meetings on as needed basis.
- Variety of other miscellaneous projects determined by business needs and direction of the Executive(s).
- Bachelor's degree preferred
- 1-2 years experience supporting executive or management staff or experience in a fast-paced administrative role required
- Strong in Microsoft Office suite and Google applications
- Experience working in high-trust environment
- Excellent communication skills
- Ability to demonstrate patience even in stressful situations
- Exercises discretion and good judgement
