We are currently seeking an Associate Director, Resource Management to join our growing team.

The Associate Director, Resource Management will work on the Integrated Communications/IC business within Real Chemistry. This pivotal role help drives operational effectiveness, billability and utilization by managing staffing so that it is continuously adjusted and shaped to meet current as well as forecasted client needs.

An integral member of the team, the Associate Director, Resource Management works closely with Project Management, Account Management, Finance, Operations, Talent Acquisition, HR and Business teams, functioning as a point of contact for resource management. This role reports to the Group Director, Resource Management who in turn reports to the Head of Resource & Project Management. All employees are currently working remote; once our offices re-open, this position will work in our New York City office. For the right candidate, we may consider other office locations, including Chicago, Boston, Philadelphia, San Francisco, Austin or Florham Park, NJ.

Responsibilities:

  • Resource Management: actively help manage and inform resource forecasts, staffing needs and allocations. Optimize resource billability by ensuring a balanced mix of permanent, freelancer and outsourced resources. 
  • Forecast resource needs: help establish resource demand and implement methods of capturing specific requirements to anticipate resource requests.
  • Workforce Planning: liaise with department and business leads to maintain and socialize a forecast of resource requirements weekly for projects over the coming months. Identify in advance where demand for resource cannot be met internally, due to capacity or skill constraints and work closely with department and business leads to create strategically matched teams against forecasted requirements. 
  • Resolve Capacity Constraints: identify when demand will exceed resource available, confirming skills gaps with internal partners. When no opportunity exists within the business (locally or globally) to satisfy demand, assist in recruitment process (e.g., Finance approval, Talent Acquisition briefing) and recommend freelancer or permanent recruitment or outsourcing.
  • Training and Development: help ensure a complete and effective set of documentation related to operational practices and processes.

Skills/Experience:

  • Negotiation and conflict management: ability to achieve the best possible outcome in every negotiation and to anticipate, defuse and resolve conflicts.
  • Analytical capabilities: ability to compile and analyze key information, issues and trends, creating effective operational reports to provide further insights.
  • Business partnering: ability to maintain in-depth knowledge of Real Chemistry’s service offerings in order to partner with sections of the business.

Minimum Requirements:

  • 6+ years’ experience in a resource management and operations role in an agency environment necessary; resourcing for PR or Comms a plus.
  • Experience working in a dynamic and fluid environment where clear structure and process may not always be apparent.
  • Proven ability to work well under pressure, with a high degree of flexibility and fluidity and to have an objective focused and positive approach.
  • Ability to be comfortable working independently self-motivated and self-driven.
  • Solid understanding of project lifecycle and process, able to understand requirements, interpret briefs, and recognize potential risks and dependencies.
  • Excellent customer service, documentation, presentation and communication skills for a variety of audiences, ranging from Business leads to Finance.
  • Experience working in rapid-growth companies or agencies.
  • Bachelor’s Degree in Marketing, Finance or related field.
