REX is seeking an experienced Executive Assistant to join our fast growing company to provide high-level administrative support to executive management and senior leadership. In this role you will be responsible for duties such as: calendar management, assisting with travel arrangements, coordination of high-priority meetings/events and much more.

This role is based at our headquarters in Austin, TX.

What You’ll Do:

  • Manage executives calendars, including internal and external meeting coordination
  • Manage travel schedule & accommodation arrangements
  • Organize various events and meetings; coordinate accommodations and meeting logistics.
  • Prepare reports, presentations, and related materials for executive meetings.
  • Manage incoming calls/correspondences appropriately
  • Maintain highest level of confidentiality
  • Consistently demonstrates positive attitude
  • Building and maintaining trust, effective working relationships with internal and external staff and clients
  • Manage the operations of the office, including liaising with building management, ordering office supplies, stocking the kitchen and maintaining a professional appearance
  • Build cross-functional relationships between departments
  • Perform other responsibilities as determined by business needs

What You’ll Need:

  • 5 years minimum experience supporting C-Suite OR executive administrative experience supporting senior leadership
  • Bachelor’s degree preferred or related experience 
  • Proficiency in Microsoft Word, Excel, PowerPoint and G Suite 
  • Excellent organizational and planning skills with ability to think proactively.
  • Exceptional calendar management skills with the ability to use good judgment and time management skills
  • Ability to work independently as well as part of a team
  • Superior attention to detail and ability to meet tight deadlines
  • Ability to quickly understand and prioritize support needs
  • Superior multitasking skills with demonstrated ability to successfully handle multiple projects/ assignments in a fast paced environment
  • Experience managing business and professional calendars, meetings, and travel plans
  • Ability to communicate professionally and effectively with high-level external stakeholders
