Position Overview

Our Chief Executive Officer (CEO) is looking for a trusted partner to lead the logistical aspects of his world amidst a rapidly growing company and ever changing priorities. This is a dynamic role and will be both rewarding and challenging - you will be in the thick of it with our CEO to ensure that he is staying on top of all critical details and providing exceptional service to clients and employees alike. The ideal candidate is an air traffic controller to the CEO, manages multiple priorities and relationships seamlessly, understands the big picture and can execute on all the small details.

This executive assistant must have ultimate discretion -- we are often the first to know the best and most challenging news for our team. Integrity and trust are crucial for the EA & CEO relationship. The successful candidate will have a growth mindset, high creativity, a drive for process improvement, and be an extraordinary self-starter.

WHAT YOU'LL DO

Relationship Management

  • Exercise excellent judgment as an extension of the CEO and Essentium. Navigate relationships through collaboration, kindness, service and candor
  • Manage the CEO’s daily, monthly and quarterly outreach and meetings through a deep understanding of his relationships and priorities
  • Create systems & processes that assist you to manage the reminders and outreach necessary to meet the CEO’s relationship goals
  • Understand what the CEO needs to be successful before and after meetings. Create meeting prep, ensure he has time blocked to review it, and ensure the CEO’s timely follow up and follow through after every contact
  • Provide a personal touch for internal and external contacts alike, including reminders for important events (birthdays, anniversaries, milestones for friends/colleagues)

Email + Calendar Management

  • Monitor and manage the CEO’s inbox and information flow. Prioritize and determine when to involve the CEO and when to delegate to other staff
  • Proactively action inbox items that do not require CEO involvement
  • Thoughtfully prepare first draft responses as appropriate to emails and requests, on behalf of the CEO
  • Act as a calendar extraordinaire for the CEO. Create detailed calendar holds, prep blocks, and incorporate travel time, when appropriate
  • Be prompt and responsive to calendar requests. When priorities change quickly, respectfully communicate to those affected and seamlessly move meetings
  • Thoughtfully consider personal matters when scheduling, including family events, school breaks, health appointments, vacations, etc.

Travel & Event Management

  • Manage event logistics for site visits, partner meetings, conferences, and more. Ensure that all attendees have exactly what they need to be welcomed, presentations are prepared, and no one goes hungry
  • Research and coordinate travel for internal and external meetings, including RSVPs, flight details, accommodations, transportation, meals/reservations, itineraries, meeting rooms, directions, etc.
  • Support flight check-in and rescheduling, in the event of cancellation or delay.
  • Confirm appointments during travel days
  • Anticipate traveling with the CEO domestically for meetings 5-7 days per quarter to support with on-the-ground logistics

Other

  • Create a task management system that works and the rituals that sustain it. Translate requests from email and a broad array of stakeholders into an organized, trackable to-do system for the CEO
  • Identify challenges and manage up with solutions, acting as a partner to the CEO to continuously improve operations at Essentium
  • Ensure timely preparation and processing of expense reports
  • Ad hoc administrative tasks including:  Updating charts, updating distribution lists, updating PowerPoint documents and/or creating PowerPoint slides, updating/editing MS word documents, comfort with manipulating data and doing basic analysis
  • Maintain clear and accurate operational documents/procedures for reference purposes

WHAT YOU BRING TO THE TABLE

  • 3-5 years of relevant experience 
  • Confidence: You’re not intimidated by the CEO or other team members. You know how to manage up, keep us on task, give honest feedback, and push back when it’s in the CEO’s best interests

  • Proactivity: You have a future-oriented mindset that allows you to see the small steps in a large process, and anticipates the needs, time, and resources to complete that process
  • Start-up savvy: Ability to work efficiently, juggle multiple projects with appropriate prioritization, adhere to quick deadlines, and adapt to evolving circumstances 
  • Exceptional Communicator: You have strong written and verbal communication and emotional intelligence. You are clear with your boundaries, abilities, and skills. You know when and how to ask for help.  
  • Experience in exercising sensibility, discretion, and diplomacy in handling all matters, information, and relationships (including confidential or sensitive information)
  • Excellent organizational skills, with high accuracy and attention to detail
  • Well versed in Microsoft Office365 Suite
  • Ability to work in-person Monday through Friday during normal business hours, with the ability to provide support for urgent situations  (i.e. travel cancellations) or special events, important outside of normal business hours (less than 10% of the time)
  • Ability to perform phone calls on the company’s behalf
  • Ability to work in front of a computer screen and/or perform typing for approximately 100% of a typical working day. Lifting of light computer equipment will be needed.
