Summary

ClearDATA is seeking an Executive Assistant reporting to the VP of Support. The ideal candidate will use their strong organizational, communication and planning skills to help drive the efforts of the Support leadership team. This person should also be passionate about creating a new category of technology that will fundamentally make healthcare better. In this role you will be responsible for prioritizing departments efforts, organization of the calendar, coordinating team planning for standups and quarterly goals, documentation of meetings, and special projects as needed. This person will also enforce processes, proactively following up with team members to effectively meet deadlines and be a culture advocate.

The EA will be in a position to answer and make high level calls on the executive’s behalf, being a liaison with other key executives and team members as well as clients, promoting our corporate image through executive communications. The ideal candidate will have experience with executive scheduling and strategic time management skills. We are looking for people that want to always be doing more and learning more and are willing to work to make it happen. In this role you will learn about our business, customers, and processes.

What You’ll Do:

  • Strategic time management of senior team members
  • Assist in the achievement of customer success objectives
  • Support customer success efforts and customer visit prep
  • Manage / coordinate special projects and meetings
  • Coordinate travel and assist with expense reporting for senior team members
  • Anticipate and be responsive to the needs of the senior team
  • Work collaboratively with a team of EAs
  • Other duties as needed

What You’ll Need:

  • Positive and proactive attitude
  • Minimum of 3 years of assistant experience
  • Project Management experience
  • Customer-service focused values
  • Excellent computer skills are required; must have intermediate to advanced knowledge of Microsoft Word, Microsoft Outlook, Office 365 and PowerPoint
  • Experience with Concur Travel & Expense
  • Advanced organizational skills, including organization of emails
  • Effective oral and written communication skills
  • Excellent listening skill and ability to take careful notes with given direction; little follow up should be required when given a task by leadership team
  • Ability to handle stress
  • Ability to handle a fast paced, constantly changing environment
  • Experience working with team in remote and multiple locations
  • Previous experience making travel arrangements
  • Must display high level of discretion regarding sensitive, confidential information

We are located in the center of downtown Austin, corner of 6th & Congress. Our funky office space is in the Scarbrough Building, built in 1909.
