Essential Functions
Maintains Executive’s appointment schedule by scheduling meetings and planning through booking conference spaces, ensuring meeting rooms are properly equipped, and coordinating with meeting attendees
Assists with meeting agenda preparation through preparing slides, editing, revising presentation materials, and being a source of ideas and recommendations
Anticipates needs and proactively contacts appropriate people and resources to support the Executive in addressing these issues.
Communicates clearly and effectively with the Executive to keep them well informed of upcoming commitments and responsibilities
Assists with travel arrangements, manages agendas, provides necessary contacts, and other necessary preparations
Completes a wide variety of organizational support for the Executive, including drafting and typing correspondence, preparing accurate and timely expense reports for travel, and assists with everything from photocopying to briefing
Majority of assigned work will be conducted during standard business hours; however, it is essential that the candidate must be available for early morning, late evening, and weekend work as required by the role
Experience and Education
Executive Assistant experience at the C-level is required
Associate's degree; Bachelor’s degree preferred
10+ years administrative experience, with 5+ at senior management level
Strong organizational and prioritization skills
Attention to detail
Strong interpersonal skills and the ability to interact and build relationships with all levels of management
Excellent written and verbal communication skills
Proficient in Microsoft Office
Ability to handle confidential information with discretion
Proactive and able to anticipate management needs
