Executive Assistant

Reports to: Chief Technology Officer

Department: Product

Location: Austin

ClearDATA is seeking an Executive Assistant reporting to the Chief Technology Officer. This person will primarily support the CTO while also assisting with the scheduling and travel needs of other senior product executives. The ideal candidate will use their strong organizational, communication and planning skills to support the product group to help drive the efforts of product development. This person should also be passionate about creating a new category of technology that will fundamentally make healthcare better. In this role you will be responsible for prioritizing department efforts, scheduling and organization of the calendar, documentation of meetings, as well as special projects. This person should be adept at booking travel and proficient in travel/meeting coordination of multiple executive’s calendars. This EA should be familiar with Agile methodology and worked in/around a product team previously. This individual will be in a position to answer and make high level calls on the executive’s behalf, be a liaison with other key executives and team members as well as clients and promote our corporate image through executive communications. The ideal candidate will have experience with executive scheduling and strategic time management skills and be willing to be responsive to the needs of multiple executives. What You’ll Do:

  • Strategic time management of senior product team and scheduling
  • Manage the coordination of meetings for the product team
  • Assist in organization of Quarterly Product Planning
  • Coordinate travel and assist with expense reporting for senior team leaders
  • Assist with coordination of senior product team customer onsite visits
  • Work cooperatively with a team of EA’s daily
  • Anticipate and be responsive to the needs of the senior product team
  • Other duties as needed

What You’ll Need:

  • Positive and proactive attitude
  • Minimum of 3 years of assistant experience
  • Customer-service focused values
  • Excellent attention to detail
  • Ability to complete multiple tasks concurrently
  • Solid understanding of proper prioritization and timely completion of tasks
  • Excellent computer skills are required; must have intermediate to advanced knowledge of Microsoft Word, Microsoft Outlook, Office 365 and PowerPoint
  • Experience with Concur Travel & Expense
  • Advanced organizational skills
  • Effective oral and written communication skills
  • Excellent listening skills and ability to take careful notes with given direction; little follow up should be required when given a task by leadership team
  • Ability to maintain professionalism under tight deadlines
  • Ability to handle a fast paced, constantly changing environment
  • Experience working with team in remote and multiple locations
  • Previous experience making travel arrangements for multiple executives
  • Must display high level of discretion regarding sensitive, confidential information
  • Team Player
