Responsibilities

- Schedule meetings, and maintain and update CEO’s daily calendar

- Coordinate travel arrangements, prepare itineraries, plan logistics, and submit expense reports

- Act as a liaison, both internally and externally, while maintaining a sense of professionalism at all times and representing Wheel’s core values

- Screen all incoming phone calls, inquiries, visitors, and correspondence, and route accordingly

- Maintain confidentiality of highly sensitive information

- Manage complex office administrative work requiring the use of independent judgment and initiative

- Act as the point of contact among executives, employees, clients, investors, and other external partners

- Format information for internal and external communication – memos, emails, presentations, reports

- Partner with the Chief of Staff on strategic initiatives including OKRs and internal communications

- Support office management-related duties including: planning and executing company events, generating creative culture ideas, managing budgets, managing swag, and liaising with building management as needed

Qualifications

- 5+ years of experience supporting a C-Suite Executive

- Strong organizational skills and ability to prioritize multiple tasks seamlessly with a strong attention to detail

- Very strong interpersonal skills and the ability to quickly build relationships with key stakeholders both internally and externally

- Excellent written and verbal communication skills, including the ability to draft, edit, and proofread emails and presentation materials

- Previous experience within a fast-paced, data driven organization

- Strong ability to predict executive needs and resolving time management issues to ensure goals are met

- A strong sense of urgency with a bias towards action

- Ability to anticipate ever-changing needs and manage competing priorities

- Proficient with G-Suite

- Bachelor's degree required or equivalent work experience
