Executive Assistant

The Executive Assistant will oversee all administrative operations for the Chief Revenue Officer and the SVP of Sales and Success. This role requires an expert level in professionalism. Your expertise, unparalleled discretion, professional agility, and honed attention to detail will be essential to collaborating and driving specific projects and deliverables. Splitting time between our Austin Tech Center (downtown) and SE Austin locations, you will be an instrumental and valued extension of the efforts of this team.
Duties & Responsibilities:
Communications
● Work closely with the CRO and SVP of Sales and Success in reviewing/prioritizing and following up on emails, calls, other communications and pending matters.
● Receive, screen, and initiate phone calls, inquiries, correspondence; determine the urgency of response required, and escalate issues as appropriate.
● Coordinate/Liaise with Sr Leadership, attorneys, and other parties on critical and confidential matters
● Preparing, disclosing, and handling confidential and sensitive information
● Produce information by transcribing, formatting, inputting, editing, retrieving, copying, proofreading, and transmitting text, data, and graphics
● Be available to respond to issues/requests during off hours and weekends
Event Planning
● Coordinate and organize company related meetings
● Prepare PowerPoint and other presentations for company and other meetings
Calendar / Time Management
● Organize and prioritize daily schedules; arrange appointments, meetings and events, schedule/manage complex itineraries for business travel, and maintain their calendars.
● Attend executive team meetings as requested.
● Prepare leadership in advance of meetings as needed.
● Manage and prepare meeting materials and correspondence.
Travel Management
● Coordinate all requested aspects of business and personal travel, documentation and flight monitoring, transportation, hotel and restaurant reservations.
● Maintain a list of travel preferences (airlines, flight class, hotels, rental cars, etc. .) to use when making arrangements.
What We Like to See / Measures of Success:
● 3-5+ Years of experience supporting executives
● Bachelor’s degree (preferred)
● Experience working in a fast-paced, growing company that requires quick thinking, process creation, and the ability to think outside of the box to complete duties is a huge plus
● Strong communication skills both verbally and written
● Ability to prioritize, organize, and complete tasks effectively
● Solutions focused
● Proven ability to handle confidential information
● Strong judgment and ability to make decisions
