About the Role

As the Executive Assistant, you will report to the Executive Business Partner (EBP). In this role, you will be responsible to support the day-to-day operations of Subsplash executives. As a trusted partner to the executive team, you will help to streamline operations and create and maintain cross-departmental relationships. You will have a far-reaching impact across the organization with a front-row seat to the inner-workings of a high-growth team. We are looking for someone who can humbly and confidently support executive meetings and navigate complex calendaring, with an ability to gracefully context-switch between both with ease. As a trusted member of the executive team, you will be a confidante on all topics relating to company operations, prioritization, and feedback. This role requires thoughtfulness, confidentiality, and a supreme bias for action and passion to drive for our core values of humility, innovation, and excellence.

Your Priorities

  • Support business continuity and smooth leadership operations 
  • Attend executive meetings as needed to keep a pulse on the business and help connect people across the company working towards common initiatives 
  • Meet weekly with executives to discuss the week ahead and provide information and deliverables to help increase executive effectiveness and productivity  
  • Take notes during meetings and make sure strategic vision has action steps 
  • Facilitate cooperation and communication between departments by hearing concerns, finding common ground, and cultivating a foundation of trust amongst team leads
  • Coordinate calendar, travel, and receipts for executives 
  • Represent executives through phone, email, and in-person meetings; chat with internal and external stakeholders including board members, business partners, top clients and c-level executives to ensure a delightful experience 
  • Serve as a sounding board and provide feedback on initiatives 
  • Maintain record of partnership proposals, MNDAs, and related documentation as needed

Qualifications

  • 3-5 years of related experience. For example, previous administrative experience, ideally supporting a CEO or C-suite member in a 1-1 partnership at high-growth organizations 
  • Demonstrated experience in a flexible and dynamic work environment 
  • Organized and detail-oriented — you must love creating order out of chaos
  • Exceptional communication skills 
  • Models humility, innovation, and a drive for excellence.
  • Passionate about our products and how they can serve churches, ministries, and nonprofits.
  • Intellectual and relational curiosity paired with a high growth-mindset 
  • High EQ and empathy for others
