Dealerware is looking for an Executive Assistant to provide a wide range of administrative support for our executive leadership team. This role will be working in a fast paced environment supporting multiple executives requiring the ability to juggle diverse responsibilities with accuracy, flexibility, and humor. The Executive Assistant demonstrates a high level of integrity, professionalism, and confidentiality, handling sensitive information with discretion. A high degree of responsiveness and independent judgment is required to plan, prioritize, and organize in a fast-paced, rapidly changing environment. The Executive Assistant must be highly proficient in all technology platforms needed for the day-to-day and supporting our WFH technology dependency. This role will report to the Chief of Staff, and will contribute to the smooth operation of the executive team.
Duties & Responsibilities:
- Responsible for overall calendar management, ensuring efficient time management, and requiring interaction with both internal and external executives and assistants
- Coordinate with Chief of Staff for scheduling & management of executive team meetings
- Prepare, submit & track expense reports & maintain records
- Monitor departmental travel requests, verify need for travel & approve on behalf of the department
- Proactively follow-up on outstanding tasks and issues on behalf of executives
- Provide support for large/team/cross-department meetings
- Maintain team calendar and support needs of team building and employee appreciation events, etc.
- Assist with team-building events, including origination of idea and coordination of facility, travel, food, and lodging accommodations (as needed)
- Other administrative and office support duties as assigned
Minimum Requirements:
- Applicants local to Austin, TX
- High school/GED required
- 5 years of executive-level administrative or comparable experience
- Must be highly proficient in Microsoft Word, Excel, PowerPoint, and Outlook
- Must be highly proficient in Google Suite: Gmail, Calendar, Drive
- Must be able to maintain the highest level of confidentiality
- Resourceful self-starter with ability to work with minimal supervision
- Demonstrated ability to handle multiple tasks simultaneously
- Exceptional organizational skills required
- Detail-oriented
- Command of spelling, punctuation, grammar, and proofreading
- Professional demeanor and telephone manner essential
- Ability to prioritize and work independently
- High level of communications skills to interact with senior executives and external professionals
