Location:  Austin, TX

About This Role 

This Facilities Manager will help us manage our Texas offices located in Austin and Dallas. In this role, you will be managing our offices with the goal of continuing to make Hippo a great place to work as we scale.  In addition to hands on work within the offices, you will manage relationships with outside vendors, handle the execution of site related projects and coordinate with finance to manage the budget. This is a newly formed role that will also help us establish facilities processes, policies and procedures.

We are looking for someone to support our lively downtown offices by adding to our already amazing culture. This person will need to be hands-on, able to solve rapid growth related issues and be a master at managing competing priorities. 

Responsibilities

  • Oversee the day-to-day delivery of office and facilities services for Austin & Dallas locations and manage business operations within budget
  • Manage all facilities processes, policies and procedures (e.g. internal/external work orders, move-add-change requests, space planning, furniture changes, preventative maintenance, etc.)
  • Manage parking, keys and building access cards, which entails auditing the monthly invoices
  • Office Foodie: Maintain snack orders through Aramark and manage relationships with our caterers for our Hippo provided lunches 3 times a week
  • Stock basic office supplies, paper towels, soap etc. Responding to equipment and supplies requests
  • Liaise with property managers, building engineers, parking garage vendors and security personnel for all offices
  • Work with business units to align facilities with business goals and drivers
  • Collaborate with finance to prepare annual budgets inclusive of capital and non-capital projects
  • Cooperate with IT to design, maintain and update contingency plans to provide facilities with rapid recovery from electrical or mechanical failures with minimal interruption to operations
  • Partner with HR on health, security, and safety programs
  • Drive innovative initiatives for emerging technologies that enhance the work environment and employee experience

Requirements

  • Excellent customer service and interpersonal skills, both written and verbal
  • A commitment to ensuring employees have a high-quality work environment and a willingness to be flexible and do what is needed to get great work done
  • Working knowledge of real estate functions (space planning, lease transactions, etc.)
  • Strong project management and organizational skills
  • Creative problem solving skills
  • Self-motivated and directed; ability to collaborate is a must, but you will be autonomous and expected to succeed without heavy direction
  • Strong intellectual curiosity and a desire to help others solve problems
  • A natural inclination to work within a culture that is fast-paced and dynamic
  • 20% travel expectation to Dallas
