We are looking for an individual who will thrive in our highly collaborative environment and be a core contributor to our company culture and often, serve as the gateway to our company. As a standard bearer, this person knows when it’s time to turn the kitchen into Margaritaville, or plan an imaginative off-site team building exercise 

You'll need to love variety, work independently, communicate well and be super organized. We are looking for a motivated individual with a proven track record in office administration who can support our team and clients’ needs, and help create the everyday magic.

This role is not unlike any other hire for our agency and the ideal candidate will excel at thinking outside of the box when problem solving or working to bring innovative ideas to life within our highly collaborative and dynamic workplace. The ideal candidate is a self-starter, fun and personable, responsible and detail oriented. Some experience working as an office admin is preferred. You understand this role has the power to influence morale and are not afraid to speak up in order to make things happen.  

You will be reporting directly to the COO. 

Responsibilities

  • Welcomes guests, interview candidates and routes calls 
  • Schedules client and some internal meetings 
  • Acts as an Executive Admin for COO and CEO
  • Key member of the recruitment process: helps with proactive outreach of passive candidatesfollows up with candidates, coordinates and schedules interviews and keeps the recruitment process moving by managing internal team 
  • Point person overseeing our new hire on-boarding process: maintains level of consistency for each new team member brought on 
  • Fields and tracks vacation requests 
  • Purchases and maintains inventory of office supplies, snacks and other essentials 
  • Point person for upkeep/maintenance of office equipment, conference rooms, kitchen
  • Responsible for ongoing office cleanup and organization, including but not limited to running and emptying dishwasher, light organization of communal spaces and post-event cleanup 
  • Acts as IT liaison to route support requests, order new hardware and softwareand keep an updated roster of active Drumroll users with the IT team 
  • Manages and coordinates monthly catered birthday lunches, ad hoc team member celebrations and any offsite meetings or team building activities 
  • Helps to plan and prepare the office for client visits (travel, meeting needs, catering, coffee runs, etc.) 
  • Coordinates and books travel for internal team 
  • Owns internal expense tracking including employee reimbursements and company credit card reconciliation 
  • Manages shipping and receiving 
  • Coordinates with building management for all parking and access card requests 
  • Advocates for the agency and its team members through proactively keeping a pulse on office morale and identifying opportunities to create experiences for the team 

 What you gotta know 

  • Associate's or bachelor's degree preferred 
  • 1-3 years’ work experience as receptionist, office manager or administrative assistant 
  • Proficient in the Microsoft Office suite; experience with Microsoft Teams a plus 
  • Experience with Canva or similar creative software highly preferred 
  • Driven by the quick pace dictated by a company culture and work ethic that tries to always exceed our clients’ expectations   

Nice-to-haves  

  • Background or experience with recruitment; familiarity with Greenhouse Recruitment a plus 
  • Hospitality or customer service experience 
  • Interest in advertising and/or similar creative fields 
  • Familiarity with Airtable (or similar) project tracking software 
  • Passion for or interest in learning the agency business
