The Office Administrative Assistant is responsible for assisting in the day to day operations of an office, serving as the main point of contact for employees and visitors, vendors, and building management to handle any facility related issues and escalate as needed. This individual will provide a wide variety of administrative support to the Austin office, including helping to enforce COVID safety protocols, coordinating new employee onboarding, and other office-related projects.

YOUR RESPONSIBILITIES

  • Assist in the day to day operations of the office
  • Act as the face of Bright Health: ensure visitors receive a warm welcome, maintain security requirements by ensuring all guests sign in and out, follow guest procedures, and alert appropriate Bright Employees their visitor is waiting
  • Manage and maintain the safety of employees on site, including, but not limited to helping to enforce COVID safety protocols, addressing impromptu facilities requests, maintaining safety and sanitation related supplies, stocking common areas with needed items, and reporting any violations of site policy to leadership
  • Manage conference room utilization and all conference room calendars
  • Maintain office supply inventory and ordering supplies as needed, managing incoming and outgoing mail and deliveries
  • Coordinate on-site meals for meetings and other events
  • Manage and maintain Austin location vendors including facilities, custodial, food service and miscellaneous contracting
  • Assist in the coordination of travel for select senior leaders and remote employees as needed
  • Provide administrative support, including scheduling, expenses, and calendar management for select senior leaders at Bright
  • Stay up to date on required compliance, safety, sanitation, contact tracing and other office related procedures and policies

EDUCATION, TRAINING, AND PROFESSIONAL EXPERIENCE

  • High School diploma or GED required, Bachelor's Degree preferred
  • 2+ years of experience supporting a professional office
  • Must be willing to come into the physical office every day

  • Proficiency in MS Office with expertise in Microsoft Word, PowerPoint and Excel
  • Creative and proactive, with the ability to recognize potential problems and prioritize accordingly

  • Able to deliver high quality customer service to internal and external customers by communicating with knowledge and compassion; able to develop good working relationships
  • Able to work independently and collaboratively on projects, sometimes from conception to completion
  • Able to be flexible in schedule and adaptable to constant change; able to remain calm in difficult situations
  • Able to work in and must be able to work under pressure at times to handle a wide variety of requests and activities, some of which may be confidential, in a fast-paced environment
  • Broad knowledge of company operations and policy, compliance and much have a high level of professionalism, experience and discretion
  • Able to effectively handle and prioritize multiple tasks, frequent interruptions, and details with efficiency and accuracy
  • Able to meet strict deadlines with a sense of urgency and attention to detail
  • Superior organization skills and dedication to completing projects in a timely manner
