At Brightpearl, our success depends on our people, productivity, and operational effectiveness. An Office Administrator is the supportive force driving each of these areas, and we’re currently seeking someone stellar to take the reins. The ideal professional for the role is a flexible problem solver with superb communication skills and a detail-oriented mindset. Prior experience thriving in an administrative capacity in an office environment and the unique ability to multitask and deftly handle the unexpected are essential qualities to bring to the position.

Your Day-to-Day

  • Ensure general management of the office, overseeing operational efficiency, effective communications, and other types of strategic and tactical planning;
  • Maintain facilities management, including space planning/design, vendor contracts and relations including facility vendors such as coffee, snacks, access building control system, and facilitation of all office functions and services;
  • Identify, order, distribute, and maintain inventory of office swag;
  • Manage monthly office expenses and upload receipts for year-end audit process
  • Coordinate with IT team on equipment given to new hires and equipment returned from leavers;
  • Act as primary liaison between the company, staff, and office building management, providing information, answering questions, and responding to requests;
  • Achieve organizational goals while maintaining an efficient, productive, and positively cultured office and employee experience;
  • Warmly greet visitors to our facility, answer and direct phone calls promptly, fielding solicitors/cold sales calls, and maintain office efficiency arranging necessary repairs;
  • Perform a variety of administrative duties, such as maintaining spreadsheets, setting up meetings, creating forms and surveys, creating slide decks, and sorting and distributing incoming mail;
  • Schedule and track meetings and appointments, and book flights and travel arrangements;
  • Maintain records used by Human Resources, Operations, GTM Teams as requested

Requirements

About You

  • Proven administrative experience;
  • Superb written, verbal and active listening communication skills;
  • Effective and efficient time-management skills and multitasking ability;
  • Conscientious - sees tasks through to completion and makes sure that work is accurate and delivered on time;
  • Aptitude to learn new software and systems;
  • Builds and fosters trusted relationships;
  • Thrives in a varied role and willing and able to turn to any task to foster a productive and engaging work environment for the US based team;
  • Knows the difference between important and urgent

Desirables or show us your potential to learn on the job:

  • Comfortable handling confidential information, sensitively
  • Ability to adapt to changing situations in a calm and professional manner
  • We use G-Suite, and will be happy to teach you if you’ve not used it before

    Our downtown office is located on 7th and Brazos near some great lunch spots and the train station. We’re offer a flexible work environment to encourage productivity.
