About The Role

We are looking for an experienced and professional Office and Reception Manager to join our Austin team in our brand-new office at Frost Tower. This role will serve as the face of Amherst to our guests, investors, and employees at our downtown headquarters. The ideal candidate is professional, organized, proactive, possesses strong communication skills and is an all-around team player with a passion for the company and their role. Must-have qualities are a positive, flexible, can-do attitude and ability to apply excellent judgment in all situations. The role will support a number of Amherst employees within our growing Austin office and liaise regularly with our other corporate / branch offices by serving as the Office and Reception Manager for our Frost Tower office. The role will combine front of house responsibilities with broader administrative business support.

Key Responsibilities

Front of House Duties:

  • Serve as brand ambassador for Amherst
  • Professionally and warmly greet visitors (in person or on the phone); answer or refer inquiries
  • Act as gate keeper and route calls or take messages
  • Monitor visitor access and issue passes when required
  • Direct visitors, guests, or clients into conference rooms for meetings. Provide hospitality to visitors.
  • Manage conference room set up (order and set up food and refreshments as appropriate for meetings and set up video conference or dial-in 10 minutes prior to every meeting)
  • Prepare physical meeting materials as requested

Office Administration:

  • Maintain conference room calendars
  • Receive, sort, and route mail, receive orders
  • Receive and distribute incoming packages. Work with FedEx and couriers as needed for accurate and timely incoming and outgoing deliveries
  • Manage deliveries including booking and signing for international and domestic couriers
  • Maintain and replenish office and kitchen supplies
  • Ensure reception area, conference rooms and kitchen area are presentable at all times

Additional Duties:

  • Prepare and submit T&E Expense Reports, arrange travel, and assist with any office postings/signage as required
  • Provide calendar management for team members
  • Prepare general correspondence, memos, reports, and presentations as needed
  • Coordinate restaurant reservations for lunch or dinners as required
  • Maintain continuity among work teams by documenting and communicating actions, issues, and continuing needs
  • Perform other clerical duties such as filing, photocopying, and collating
  • Manage FedEx/UPS accounts for individuals in this office
  • Order supplies for pantry and copy room
  • Plus, any other office duties or ad hoc support to the office

Skills and Qualifications

The ideal Candidate should possess:

  • 2+ years of relevant experience as a receptionist and/or office manager; preferably within a financial services, real estate, or professional services firm
  • Executive administration experience a plus
  • Excellent verbal communication skills with professional and friendly phone presence
  • Solid Microsoft Office Skills (Word, Excel, Outlook, PowerPoint)
  • Focus on providing excellent customer service
  • High degree of professionalism in responding to diverse groups of people, including Board of Directors members, senior executives, staff
  • Punctuality is paramount
  • Highly organized and detail oriented with the ability to work well in a fast-paced environment
  • Strong ability to multitask, prioritize and respond to multiple requests at one time
  • Personable, dependable, approachable, sociable, and flexible
  • Ability to work a flexible schedule (occasional need to come in early/stay late for meetings with external guests)
  • Ability to maintain a high level of integrity and discretion in handling confidential information
  • Ability to complete tasks and requests with little or no guidance
