Opportunity Overview

We are looking for a  friendly, flexible and highly responsible individual to join our team as an office assistant.   We are a start-up in Austin and this role will include lots of variety with no two days the same.  

  • Provide day-to-day legal and executive support for Cerity leadership team.

  • Organize and coordinate flow of information.  Sort, read and annotate incoming mail and documents as required, determines routing, signatures required and maintains follow-ups.

  • Greet and welcome guests as they arrive at the Cerity office.

  • Create and maintain corporate minute books.

  • Manage several concurrent priorities and exercise excellent judgement to prioritize work daily. Ensure high priority items are completed in timely manner.

  • Manage inventory, order and replenish supplies for office.

  • Manage contracts by maintaining them in centralized system, ensuring appropriate documents are stored.

  • Monitor contract renewals to ensure processing at appropriate time.

  • Compose general correspondence memos, legal documents, reports, etc. from various sources.  Ensure the all correspondence is dispatched in timely manner (e.g. email, mail, messenger, express services, etc.).

  • Manage calendars of legal and executive team.

  • Complete expense reports for legal and executive team.

  • Coordinate events and travel itineraries.

  • Compile documents for meetings.

  • Create, edit and proofread documents and presentations.

  • Establish and maintains filing and records electronically and in hard copy where necessary.

  • Coordinate multi-document filings with state and federal regulatory agencies.

  • Coordinate HR hiring process with parent company and HR team

  • Other duties as assigned.

 

Skills

  • Experience with Microsoft Excel, Microsoft Word and Apple Keynote

  • Experience with Gsuite for email, collaboration and document management including Google Docs, Drive and Google Sheets

  • Excellent writing, grammatical, research and organization skills

  • Ability to work productively and cooperatively in a fast-paced team environment

  • Rapid learning, ability to learn new skills as necessary

  • Ability to work independently with professional discretion and ability to maintain confidential information

  • Accurate keyboarding skills

 

Education

  • High School Diploma, College degree preferred.  Or, equivalent years of experience.
