Khoros is seeking a sharp, detail-oriented and well-organized Office Assistant to support our administrative and facilities staff. As the Office Assistant you will be the "face" of the company for all visitors and will be responsible for the first impression we make.   

 

The ideal candidate will have a friendly and easy going personality while also being very perceptive and disciplined.  You should be able to deal with complaints and give accurate information when needed.  This is an in office position that will require you to be in office for a 40 hour work week. 

Responsibilities

  • Answering calls, greeting guests, receiving and distributing packages 
  • Issuing and managing guest badges 
  • Creating weekly office newsletters 
  • Booking and maintaining conference rooms 
  • Updating seating charts and internal employee lists 
  • Tracking inventory and ordering of office supplies 
  • Helping maintain the overall office appearance and cleanliness 

Qualifications

  • 1-2 years of administrative assistant experience, including delivering quality results in a fast-paced environment preferred. 
  • Highly proficient with MS Office Suite (Calendar, Word, Excel and PowerPoint). 
  • Strong interpersonal skills with the ability to build relationships throughout the company Strong communications skills including written and verbal. 
  • Excellent organizational skills with proven ability to multi-task and re-prioritize based on business need. 
  • Excellent attention to detail, with ability to produce error free work. 
  • Excellent problem solving, judgment and decision-making ability. 
  • Highly self-motivated and proactive to drive initiatives without guidance or supervision. 
  • Able to maintain confidentiality and be discreet with sensitive information. 
  • Able to deal with high pressure situations including tight timelines. 
  • Flexibility and willingness to be available during non-business hours when needed. 
  • Able to lift up to 40 lbs
