Office Coordinator (FT/PT)

As the Office Coordinator you will be responsible for ensuring office operations run smoothly and optimally, with a wide range of daily responsibilities. The Office Coordinator plays a critical part in making the day-to-day life of all Headspringers and guests more productive, organized, and fun.
Your Role on Our Team
Provide exceptional front-desk reception service and office support to all Headspring employees and guests
Maintain grade-A level office orderliness, with attention to the organization and appearance of conference rooms and shared spaces at the beginning and close of each work day
Stock kitchen and office supplies daily
Provide support across multiple functional areas of the business, including, but not limited to:
- Send weekly emails for supply requests and fulfilling requests
- Manage and ensure accuracy of company Austin office calendar
- Produce certificates and take photos at staff meetings
- Serve as the point of contact for all Austin office facility needs including maintenance work orders, access management (e.g., keys, after hours access)
- Initiate work orders for office equipment and ensuring timely completion
- Order office supplies as needed and maintain optimal inventory
- Provide administrative support for Corporate Credit Card transactions
- Provide virtual support to employees outside of the Austin office as needed
- Provide office-centric support to all members of Headspring Executive team
- Assist with on and off-site event logistics
What You Bring to Our Team
Prior experience working as an office coordinator, or similar role
Ability to manage to a budget
Exceptional attention to detail and passion for accuracy
Proven ability to work independently and successfully meet deadlines
