Pingboard is looking for an organized, outgoing Office Manager and Recruiting Coordinator. In this important role, you will make sure the team has everything they need to be successful. Be it in the office, where we do our best work, or while recruiting the best and brightest future Pingboarders, this person is sure to make a lasting impact. To succeed in this role, the ideal candidate will be highly organized, excited to take on all types of tasks, and will go above and beyond to maintain our fun, supportive, and transparent culture. 

We’re building the best org chart and collaborative people planning tool (read our master plan.) We’re a close-knit team that is passionate about what we do. Our customers are dynamic companies with 50-5,000 employees in diverse industries. Pingboard helps them work and plan better, together.

You’re excited about this role because you’ll:

  • Foster Pingboard culture by working closely with the Head of Internal Operations to refine our recruiting processes and create a world-class candidate experience

  • Assist hiring managers in scheduling interviews, coordinating everything from panel interviewers to travel, as needed 

  • Manage posting of open roles across a plethora of paid and unpaid job boards, focusing on attracting top talent and increasing diversity at Pingboard

  • Maintain an organized office while gently encouraging others to do the same

  • Support the leadership team on special projects when appropriate

  • Manage periodic team meals and catering

  • Manage daily operations of an office such as supply orders, facilities management, and general repairs

  • Manage office security, including access for employees, visitors, and vendors

  • Curate an inspiring and healthy collection of office snacks and drinks

  • Assist in onboarding new Pingboarders, not only to their role, but to our culture 

We’re excited about you because you:

  • Have 2+ years of professional experience, ideally in a fast-paced start-up environment

  • Have experience assisting in recruiting efforts, people ops, or employee engagement and would like to grow your career into one or all of these areas

  • Have crystal clear verbal and written communication with a "Happy to help!" mindset

  • Have in-depth experience with tools like Hire by Google, Slack, G Suite and are quick to master new ones

  • Possess a unique ability to predict and plan for a growing office and team 

  • Are detailed-oriented and passionate about quality in your work
