About your role

We are seeking a hands-on master of operations to help us achieve our mission by ensuring we have a productive, efficient, and enjoyable work experience for our employees in our Austin, TX office, which are currently 50 and continue to increase rapidly. This role will also support certain functions of other offices until we return to occupying offices on a regular basis. The ideal candidate thrives on bringing order to chaos, working in fast-paced environments, and obsessing over how we design and operate our physical surroundings to help maximize team productivity and promote our company culture. During the current Covid work-from-home environment, the ideal candidate will extend to help across the business in any way possible and contribute to the design and launch of our post-Covid work environments.

What you'll do

  • Manage inventory of supplies and conference room equipment, ensuring that all employees have all the ingredients required to be successful
  • Work closely with the IT team to maintain the appropriate inventory of computer and IT equipment
  • Work closely with People Ops and Marketing to make sure we have awesome swag to provide the Sales, Marketing, Customer Success, and People teams 
  • Partner with the People Ops team to schedule new hire onboarding trainings in our bi-weekly new hire cohorts
  • Support new hire and ongoing training sessions for the Product Operations team
  • Support the office selection and lease processes as we grow, and coordinate with designers and employees on build-outs and moves
  • Manage office deliveries and assist in shipping customer and marketing materials as necessary
  • Ensure our facilities operate smoothly, liaising with the property manager to handle all building related issues, and interfacing with employees on facilities matters like key fobs
  • Maintain well-designed office environment for employees and visitors, including keeping common areas, conference rooms, and the kitchen neat, tidy, and stocked with supplies
  • Manage seating availability and desk reservations in future office configuration
  • Oversee our lunch catering and snack programs, taking care that employees have nutritious food as required to be productive, and managing ad hoc needs as required
  • Plan and execute onsite and offsite company and recruiting events, including generating creative ideas, scheduling, booking venues and catering, managing budgets, and more
  • Manage office vendors, technology and service vendors as required
  • Receive all office visitors, including customers, candidates, vendors, and more, while providing an excellent first impression that’s consistent with our brand and values
  • Partner with People Team to book on-site interviews in the Austin office, including arrange candidate travel to Austin and prepare interview room, resumes and candidate meals with the team
  • Partner with the People Team to set up new-hire work stations and support new employee onboarding
  • Assist executives in filing expense reports via Expensify, and help employees with booking travel as necessary
  • Serve as the main “go-to” person for a rapidly growing team and help out wherever necessary

Qualifications

  • 2+ years of experience as an office manager or similar, operations-oriented role in a high-growth office environment
  • Proficiency with modern productivity software tools, including Office, G-Suite, Asana, and Expensify
  • Basic proficiency with computers and IT equipment (e.g. printers, conference room phones, video conferencing equipment), including the ability to troubleshoot problems
  • Self-starter with excellent time management skills and ability to manage competing priorities in a fast-paced environment
  • Highly organized and process-oriented, with excellent attention to detail
  • A creative mind with an ability to deal with ambiguity and think outside the box
