JOB SUMMARY 

This individual will be responsible for the preparation and oversight of high-quality vendor work orders, purchase agreements and working in tandem with Legal and Network Management on Master Vendor or Purchase Agreements for newly onboarded practices.  Core responsibilities include facilitating the negotiations with various vendors required to perform clinical research, reviewing and approving invoices received from vendors and providing clarification to Finance department.  Individual will manage contract negotiation between Elligo and external professionals, which includes resolving conflicting interests and objectives.  Assists in development of negotiation strategies, vendor rate cards, identifies areas of contract risk, and works with Finance to ensure proper understanding of the contract and associated budget(s).  This is a highly-networked role that requires an ability to work under pressure and be customer and clinic oriented.

Essential Functions

  • Develops strong working relationships and maintains effective communication with Elligo management, staff, and customers
  • Works independently in the management of substantial number of simultaneous vendor contract development and negotiations
  • Plays a key role in managing timelines to ensure expeditious site start-up
  • Responsible for reporting contract and budget negotiation progress to internal and external project teams
  • Negotiates and manages all changes in and addendums to existing vendor contracts
  • Instructs Company staff regarding the selection of vendors by project. Acts as the internal local advocate for selecting preferred vendors.
  • Ensures that contracts are executed and centrally stored in accordance with corporate guidelines
  • Works with Finance to ensure proper understanding of the budgets and procedures and contract terms
  • Explore and execute Master Vendor Agreement with national providers required for Elligo’s therapeutic needs
  • Partners with Finance and Contracts to understand budgets and financial forecast processes and needs to ensure agreed to contracts are in line with budget requirements
  • Ensures systems are updated as appropriate
  • Performs other duties as required by the department and Elligo
  • Ensures alignment with broader corporate goals and therapeutic objective needs.
  • Strong and comprehensive knowledge of GxP regulations and guidelines.

QUALIFICATION AND EDUCATION REQUIREMENTS 

  • Bachelor’s Degree preferred
  • Demonstrated proficiency with word processing, spreadsheet, database, presentation software (MS Office skills such as Outlook, Word, Excel, PowerPoint, and SharePoint), and Salesforce
  • Four (4) years of contract or vendor management experience preferably in a clinical research site or similar industry setting
  • The ability to communicate effectively in English, both verbally and written
  • Strong interpersonal skills with attention to detail a must
  • Strong organizational/prioritization skills for the management of multiple concurrent projects

 

WORKING CONDITIONS

This job operates in a professional office environment.  This role uses standard office equipment such as computers, phones, printers, and photocopiers.

Some flexibility in hours is allowed, but the employee must be available during the “core” work hours of 9:30 a.m. to 3:30 p.m. within their time zones and must work 37.5 hours each week to maintain full-time status. Occasional evening and weekend work may be necessary as job duties demand.

Minimal (less than 10%) travel is required for this position.
