You will have overall accountability in ensuring the financial portfolio health for one or more Technology VPs domains as you help them and their leaders navigate through our financial planning and expense, contracts, headcount, and vendor management processes. You will be responsible for tying all these components together into an overall view and will use this to find areas of opportunity to assist your leaders to address. You will collaborate with the rest of the Tech Management Office to identify additional portfolio services and drive improvements and consistency in these areas across the Tech organization. You will serve as the primary liaison with Finance and Accounting, owning the processes used across the Tech organization related to budget and expense. Finally, you will have leadership responsibilities for the two analysts that manage our B&E and Telecom invoice processing.  

 

Qualified candidates will possess a strong understanding of finance and accounting principles. In addition, they will have a general understanding of legal and contractual concepts (ex. NDAs, SOW, MSAs, etc.). Prior experience within technology, retail, and telecommunications processes is a plus. Lastly, we are looking for a systems thinker with a passion for process design and continuous improvement.  

Responsibilities: 

  • Identifies continuous improvement opportunities within budgeting and contract management activities across the Tech organization to drive best practices and increase organizational efficiency and effectiveness. 

  • Assists with establishing and implementing operations, systems, policies and procedures that achieve the directives and strategies established by CTO and VPs of Technology. 

  • Contributes to and influences the long-range strategic planning for responsible Technology functions, including facilitation of portfolio services for the annual operational planning process. 

  • Evaluates and prioritizes competing business-critical projects, initiatives, resource requirements and timelines. 

  • Reviews and approves functional activity and proposals from multiple perspectives, including operational, financial, and overall business value 

  • Acts as primary liaison with Finance, Accounting, Indirect Procurement, and Legal 

  • Serves as a Subject Matter Expert (SME) within the Tech Management Organization for related tooling and process including Adaptive, Coupa, supplier onboarding, quarterly accruals, and tie of forecast to contracts and purchase orders.  

  • Report to Tech Leadership team on budget tracking, project and general and administrative expenses, new budget requests and contract updates 

  • Drives Monthly Business Reviews (MBR’s) and process for (2) VP/Areas and provides insights for financials against target, review headcount (HC) forecast, review of project roadmap, and review of contracts for renewals/changes.  

  • Manages and accountable for Telecom expenses, contracts, and invoicing 

  • Acts as primary liaison between project teams and Tech for the rollout of new tooling and process related to portfolio services. 

  • Works with WFM suppliers to ensure correct tracking of forecast, invoicing and contracts. 

Qualifications: 

  • 5+ years of professional experience with Technology budget & expense management and project portfolio management 

  • 3+ years of leadership experience leading direct reports or contractors 

  • Advanced knowledge of Microsoft Excel, Microsoft Office Suite. Smartsheet a plus. 

  • Experience with budgeting and financial transaction systems such as; Adaptive Insights, OnIt, or Coupa a plus 

  • Entrepreneurial mindset with strong analytical, decision making, project management, planning and organizational skills 

  • Passion for details and organization at all levels, with vision for broader goals 

  • Ability to transform numbers to tell a story, unlock insights. Exceptional written and verbal communication skills, excellent document writing 

  • Deep familiarity with Technology disciplines and concepts including IT service contracts, SaaS, hardware procurement, telecom, etc. 

  • Ability to easily earn trust across all levels of an organization 

  • A systems thinker with a passion for process design and continuous improvement 

  • Positive attitude, ability to work well and fast under pressure, exceptional customer service 

  • Position is located in Austin, Texas at Whole Foods Market Global Headquarters 

  • Requires up to 10% travel, as needed
