Job Summary
As an Office Administration Specialist, you will help manage the day-to-day operations of our office environment (including vendor management) and provide support for managers and executives on an as-needed basis. You will also assist the AWL Admin and Operations team with special projects and other tasks as required.
Responsibilities and Duties
- Greet all visitors to AWL offices and ensure positive first impressions are made
- Ensure the front desk/lobby area has a welcoming and engaging atmosphere
- Help maintain a clean and tidy office environment
- Coordinate and support AWL team with ordering of lunches, and providing general office and administration support
- Administer and maintain the facilities including coordinating with building management, procuring supplies and managing facility requests
- Provide support to the Manager, Operations and Administration and other management staff as required while exercising discretion due to access of highly confidential information
- Inventory and order equipment required for onboarding
- Assist with recovery of all AWL issued equipment upon termination or resignation
- Work within a given budget for all office related items
- Support the management of all AWL contracts

- Ability to remain organized and maintain accuracy in an ever changing environment
- Proven ability to problem solve - make quick decisions to guarantee the processes and office continue to function at maximum capacity
- Able to work with limited supervision and anticipate the team’s and the office’s needs
- Excellent written and verbal communication skills
- Proficient in the use of Excel, Outlook and Word
- Ability to work 40 hours per week at AWL office
