We're looking for an Executive Assistant to provide high-level administrative support to members of the senior leadership team. In this position you will manage business related tasks for the team, including creating reports, organizing travel and accommodations, taking minutes, maintaining calendars and files and other organizational tasks. The ideal candidate will be extremely fast at solving problems, able to maintain strict confidentiality and has a positive can-do attitude.

Responsibilities:

  • Executive support of the CEO and other Senior Leadership team members as needed
  • Making and coordinating travel arrangements
  • Maintaining calendars and assisting in coordinating scheduling among numerous leaders’ availability
  • Preparation of reports, memos, letters and other documents as requested.Helping prepare for meetings
  • Plans, organizes and accurately records minutes and information for meetings, including but not limited to leadership and board meetings
  • Reading, analyzing and distributing, as necessary and requested, memos, mail, emails and submissions
  • Expense management
  • Basic office tasks, including maintenance of office supplies, answering phones and routing calls, greeting visitors, or taking messages and shipping of information
  • Ordering lunch for the office
  • Other duties as assigned

Qualifications:

  • Associates degree preferred
  • Three years as Executive Assistant or similar role
  • Strong communication skills, via phone, email and in-person
  • Familiarity with calendar systems, including Gmail, and maintaining them for executive team members
  • Knowledge of office systems and equipment, including but not limited to: Microsoft Office Suite products, printers/scanners and maintaining filing system
  • A positive can-do, no-task too small attitude
  • You are someone who enjoys working hard to make sure details are taken care of smoothly and in an organized manner
  • You have the ability to multi-task and prioritize tasks in a fast-paced and ever-changing environment
  • You thrive in an environment where you own the direction of your work, and feel a strong sense of accountability
  • You execute flawlessly on any task, big or small
  • Strong organizational and interpersonal skills
