Lithium Technologies is seeking a sharp, detail-oriented, and well-organized Administrative Assistant to support our executive staff with direction from our executive assistant team. As an Administrative Assistant, you'll have the opportunity to build strong working relationships throughout the organization while demonstrating a high level of flexibility, adaptability and experience being professional and discreet with sensitive company and employee information.

As an Administrative Assistant, you will provide administrative support and structure for the executive staff including

  • Managing a high volume of meetings and events including setting up meetings, managing conflicts, and communicating and resolving calendaring issues
  • Preparing and editing spreadsheets, communications, and presentations
  • Assisting with meetings, including preparing agenda, setting up teleconferencing equipment, distributing materials prior to meetings, and ordering food
  • Arranging and coordinate employee events
  • Answering the executive's phone and assist with messages and follow up
  • Manage travel arrangements, prepare itineraries, and ensure executive is apprised of all travel changes during trip(s)

To be successful in this role, we are looking for someone with:

  • 1-3 years of administrative assistant experience in a fast-paced environment
  • Highly proficient with MS Office Suite (Outlook, Word, Excel and PowerPoint)
  • Strong interpersonal skills with the ability to build relationships; strong communications skills including written and verbal
  • Excellent organizational skills with proven ability to multi-task and re-prioritize based on business need
  • Excellent attention to detail
  • Excellent problem solving, judgment and decision-making ability
  • Highly self-motivated and proactive to drive initiatives without guidance or supervision
  • Able to deal with high-pressure situations including tight timelines
  • Flexibility and willingness to be available during non-business hours when needed
