The Facilities Coordinator has the integral role of providing support to the People Team by promoting and maintaining a positive company culture through means of collaboration and organization with others. This person will serve as the first line of contact for all incoming callers and visitors.
How you'll add value:
- Greet and direct visitors to the appropriate team member.
- Act as a liaison between staff and office building management, providing information, answering questions, and responding to requests.
- Place service requests with building management for any maintenance issues.
- Maintain a clean and efficient work place.
- Liaise with service providers and vendors.
- Maintain and provide employee access cards via building management.
- Prepare/Distribute packages and mail.
- Organize and schedule lunches for meetings and weekly office events.
- Order, track and restock office snacks, beverages and supplies.
- Assist with the implementation and execution of office procedures.
- Manage and update office seating plan.
- Help maintain and clean, secure and efficient office.
- Be proactive and look for ways to improve office.
- Assist with researching and sourcing various products and services.
- Assist with the execution of various company/employee events.
- Additional duties may be assigned when necessary.
What you'll need to be successful in this role:
- Must have at least 2 years of administrative experience in a fast- paced environment
- Proficient in Microsoft Office; MS word, PowerPoint, Outlook, and Excel.
- Knowledge of Adobe suite preferred.
- Excellent written and verbal communication skills.
- Must be customer service oriented, a team player, and very responsive to needs and requests of others.
- Able to research venues and plan companywide events.
- Able to multi-task and be flexible with daily variety of workflow.
