We are looking for a seasoned Office Manager to oversee our corporate office in Austin.  Must be driven and highly organized with a strong work ethic.  Understanding the importance of managing and maintaining both internal and external relationships is a must.

What Your Days Will Be Like: 

  • Cover reception during regular office hours
  • Greet and sign in all visitors
  • Sort and distribute incoming mail
  • Receive, track and deliver express packages to the appropriate individuals
  • Handle all office needs including but not limited to internal/external office moves, landlord notifications, vendor meetings, equipment installations, etc.
  • Assist with upholding facilities budget for the Austin location
  • Maintain the appearance of the Austin office including common areas such as kitchens, supply rooms, collaboration spaces, meeting areas, etc.
  • Inventory and stock kitchen and office supplies
  • Maintain all systems and services including HVAC, copiers, postage machines, shred bins, coffee machines, etc.
  • Assist IT with maintaining AV equipment in conference rooms
  • Coordinate and communicate office and building instructions to staff
  • Enforce physical security policy, access cards, hard keys, visitor logs, onsite data destruction, etc.
  • Assist with the asset audit tracking process
  • Assist with lease SOX controls and onsite SOC2 requirements
  • Responsible for all facilities tickets and requests pertaining to the Austin location
  • Assist IT with maintaining new hire inventory
  • Manage projects such as rebranding initiatives, system upgrades, equipment replacement, etc.
  • Handle the facilities piece of the onboarding/offboarding process (selecting desks, setup/breakdown desks, create and distribute welcome packets)
  • Create and maintain Facilities Guide
  • Administrator for conference rooms in Robin (conference room booking software) to resolve issues/conflicts, maintaining floor plan, etc.
  • Assist with various requests from the Director of Office Administration
  • Provide general assistance to all employees
  • Assist People Ops, when able, with special staff events
  • Maintain vendor contracts and relationships

What You'll Need to Succeed:

  • 3-4 years experience in an Office Manager or similar role 
  • Ability to manage relationships with various stakeholders (landlords, vendors, employees, visitors, etc.) 
  • Experience using Office Suite (Outlook, Excel, etc.)
  • Positive attitude - you will be the "face" of Care.com!
