About the position

 

The Office Manager is an integral person for the Austin Office and ensures the general needs of employees are taken care of. This position includes greeting guests (clients, candidates, vendors), ordering food and supplies, coordinating and managing facilities needs and general office responsibilities as assigned.

 

Responsibilities

 

  • Collecting and distributing mail, packages and voicemails,
  • Confirming employment verifications (non-compensation inquiries)
  • Basic Facilities management
  • Manage floor plan, keep current
  • Inventory and order snacks and office supplies within a given budget
  • Place building maintenance requests regarding cleaning, HVAC, lighting, etc.
  • Ensure efficient delivery of facilities projects by planning, scheduling, and communicating with staff and vendors
  • Monitor progress on projects and provide regular metrics and updates to management
  • Support the Austin office with all aspects of moves and reconfigurations as well as furniture orders and coordinating installations
  • Manage birthday, holiday celebrations and activities for the office in partnership with the culture team
  • Keep a clean kitchen on both floors
  • Keep conference rooms tidy, (whiteboards clean and chairs pushed in)
  • Clean cubicle/office prior to new employee start dates and after someone leaves the company
  • Supply and manage badge access and system
  • Partner with Culture team on consistent office style globally
  • Support filing systems and organization
  • Other tasks as assigned

Qualifications

 

  • Experience with Microsoft Office: Outlook, Teams, Excel, Word Document
  • Experience in negotiating with office vendors, service providers and building management
  • Proactive, adaptive, friendly and customer service oriented
  • GED/HS Diploma
  • Previous experience as an office manager or related experience a plus
