As an Administrative Assistant at Ascentt, you will support daily business operations for a fast-paced AI and data solutions organization specializing in AI/ML, cloud, analytics, and enterprise technology solutions. This role requires strong organizational skills, attention to detail, and the ability to coordinate across teams in a dynamic technology environment.
Key Responsibilities- Manage calendars, meetings, appointments, and travel arrangements for leadership teams
- Coordinate internal meetings, client calls, and company events
- Prepare reports, presentations, spreadsheets, and business correspondence
- Maintain and organize confidential files, records, and documentation
- Assist with onboarding activities, interview scheduling, and employee coordination
- Support office operations including vendor coordination, supply management, and facility requests
- Track invoices, purchase requests, and expense reports
- Handle incoming calls, emails, and client communications professionally
- Coordinate with cross-functional teams including HR, Finance and Operations
- Assist leadership with administrative support for AI, analytics, and technology projects
- Maintain data accuracy across internal systems and documentation repositories
- Support executives with ad hoc reporting and operational tasks
- Bachelor’s degree preferred
- 2+ years of administrative or office support experience
- Strong proficiency in Microsoft Office Suite, Google Workspace, and scheduling tools
- Excellent verbal and written communication skills
- Strong multitasking, organizational, and time management abilities
- Ability to work independently in a fast-paced technology environment
- Experience supporting leadership teams in IT, software, or technology companies is a plus
