📐 About the role
We're looking for a proactive and highly organized administrative assistant to act as a force multiplier for two of our most critical leadership functions. In this role, you'll provide dual support to our chief of staff to the CTO and our chief information security officer (CISO), sitting at the intersection of engineering excellence and enterprise-grade security. This isn't just about managing calendars; it's about ensuring our technical leadership moves at the speed of AI by streamlining operations and anticipating needs before they arise.
You'll serve as a gatekeeper and primary contact, managing internal and external communications with the discretion required for a high-growth security and engineering organization. Whether you're coordinating a high-stakes security summit or helping prep the engineering leadership team for an all hands, your work will directly enable our leaders to focus on scaling the future of generative AI.
This is a remote role, working east-coast hours. You will report directly to the CISO.
🦸🏻♀️ What you'll do
Own and optimize the daily calendars for the CISO and the chief of staff to the CTO by resolving complex scheduling conflicts and ensuring they're prepared for every commitment
Build and maintain seamless workflows across the EPD (engineering, product, and design) organization by managing all hands meetings, user research outreach, and special projects
Drive the end-to-end logistics for team events, security summits, and leadership offsites including vendor coordination and agenda preparation
Shape the rhythm of the business by preparing executive reports, compiling data for decks, and managing highly confidential files related to security and personnel
Lead the coordination between internal stakeholders and external partners to accelerate security initiatives and collaborative technical projects
Create a supportive environment for the CISO's and chief of staff's direct reports to ensure departmental alignment and operational consistency
⭐️ What you need
3+ years of experience as an administrative assistant or executive assistant, ideally within a fast-paced technology company or high-growth startup
Mastery of Google Workspace and modern calendar management tools with a knack for navigating complex, shifting priorities
Exceptional organizational skills and the ability to juggle multiple high-priority tasks without letting the details slip
Strong interpersonal and communication skills that allow you to Connect deeply with stakeholders across the company
A proactive, builder mindset that drives you to Challenge the status quo and find more efficient ways to operate
High level of discretion and emotional intelligence when handling sensitive security and personnel information
A deep sense of accountability and the desire to Own your projects from start to finish in an ambiguous, rapid-growth environment
Compensation Range: $45 - $55
