Job Description:

Baptist Health Medical Group (BHMG) is a comprehensive network that includes over 1,100 physicians and advanced practice clinicians across Kentucky and Indiana.  They represent over 75 specialties including primary care and family medicine, internal medicine, osteopathic medicine, emergency medicine, general surgery and a wide range of surgical specialties offering advanced treatments and care.

The Administrative Assistant III is a remote position that provides administrative support for the Vice President of Physician and Advanced Provider Recruiting, Quality Medical Director, AVP, Physician Contracting, and AVP, Provider Compensation. This position requires strict attention to detail, high accuracy level, ability to multi-task, ability to work with time-sensitive deadlines, and work in a team environment.  Must be pro-active in approach to all position responsibilities. 

Principal Duties & Responsibilities:

  • Manage complex calendars for assigned executives, scheduling meetings, and coordinating travel arrangements.

  • Manage and prepare various high-level meetings, including creating agendas and taking minutes. Some on-site meeting attendance will be required.

  • Act as liaison for executives with Baptist Health physicians, other System executives, departments within the organization, and external contacts.

  • Coordinate with executive and others to create spreadsheets and presentations.

  • Execute accounts payable responsibilities such as ordering supplies, submitting expense reports, processing invoices, purchase orders, etc.

  • Provide coverage for other BHMG executives when needed due to absences of other administrative assistants.

  • Coordinate and maintain daily office routines and paperwork for assigned executives.

  • Ensures calls/messages or high priority information are communicated appropriately.

  • Composes, transcribes, proofs, and/or edits letters, memos, and various documents in a timely and accurate manner.

  • Organize and maintain file systems for correspondence and other records.

  • Travel to and from local Baptist Health locations for meetings occasionally

Minimum Education, Training and Experience Required:

  • High school diploma or equivalent required. Associates degree in relevant field of study strongly preferred.

  • 3+ years administrative support experience required. (Including email, scheduling appointments, managing calendars, filing, organizing, coordinating, etc.)

  • Must be able to work in team environment and work autonomously.

  • Must be able to multitask and do so in different environments.

  • Ability to type 50 wpm or better preferred. 

  • Working knowledge of Microsoft Office software is required.
