We are seeking a highly organized, dependable, and professional Administrative Assistant to provide administrative and clerical support to our team. The Administrative Assistant will help manage daily office operations, coordinate schedules, maintain records, prepare documents, communicate with customers and employees, and ensure administrative tasks are completed accurately and efficiently.

The ideal candidate is detail-oriented, proactive, professional, and able to manage multiple priorities while maintaining a high level of organization and confidentiality.

Key Responsibilities

  • Provide daily administrative and clerical support to management and staff.
  • Answer, screen, and direct telephone calls and respond to emails and other correspondence.
  • Greet visitors and provide professional assistance when needed.
  • Schedule and coordinate meetings, appointments, and events.
  • Maintain calendars and communicate schedule changes to appropriate personnel.
  • Prepare, format, proofread, and distribute letters, reports, presentations, spreadsheets, and other documents.
  • Maintain organized electronic and physical filing systems.
  • Enter, update, and maintain information in databases, spreadsheets, and company systems.
  • Receive, sort, distribute, and process incoming and outgoing mail and packages.
  • Order office supplies and maintain appropriate inventory levels.
  • Prepare meeting agendas, take notes or meeting minutes, and distribute follow-up materials as needed.
  • Assist with travel arrangements, reservations, and expense reports when required.
  • Process invoices, purchase orders, receipts, and other administrative documents.
  • Assist with onboarding paperwork and other employee-related administrative tasks.
  • Maintain confidential employee, customer, financial, and company information.
  • Coordinate communication between departments, vendors, customers, and management.
  • Assist with basic bookkeeping, data entry, and recordkeeping as assigned.
  • Research information and prepare summaries or reports for management.
  • Help coordinate office maintenance, equipment, supplies, and vendor services.
  • Monitor deadlines and follow up on outstanding administrative tasks.
  • Provide customer service and respond to general inquiries professionally.
  • Support special projects and other duties as assigned by management.

Qualifications

Required Qualifications

  • High school diploma or equivalent.
  • Previous administrative, clerical, office, or customer service experience preferred.
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and accuracy.
  • Ability to prioritize and manage multiple tasks.
  • Proficiency with computers and common office software.

Preferred Qualifications
