Office Operations & Administration
- Oversee day-to-day office operations to ensure efficiency and organization.
- Manage incoming calls, emails, and general inquiries, routing them to the appropriate personnel.
- Greet visitors and customers, ensuring professional and welcoming experience.
- Maintain organized physical and digital filing systems, records, and correspondence.
- Prepare reports, spreadsheets, and presentations as needed.
- Sort, distribute, and manage incoming and outgoing mail and packages.
- Ensure the office environment is clean, organized, and compliant with safety regulations.
- Perform basic bookkeeping tasks, including transaction recording and preparing bank deposits.
- Monitor, order, and replenish office and break room supplies; track and approve invoices.
- Compare vendor pricing (e.g., Uline, Amazon) to manage costs and support budgeting efforts.
- Provide administrative support across departments, including Human Resources, Safety, and Sales/Marketing.
- Assist with onboarding by preparing workspaces, coordinating with IT, and updating employee signage and materials.
- Support event planning, including sourcing vendors, coordinating logistics, and managing setup/teardown.
- Help manage calendars, appointments, and travel arrangements (e.g., booking flights).
- Assist with company compliance with documentation and reporting.
Training & Compliance Coordination
- Maintain training records and certification tracking for employees.
- Coordinate and schedule required and supplemental training courses.
- Track and maintain records for safety meetings, vehicle inspections, and compliance documentation.
- Support monthly safety meetings and Environmental, Health, and Safety (EH&S) initiatives.
Facilities & Vendor Management
- Coordinate building maintenance activities, including sourcing vendors, obtaining quotes, and scheduling repairs.
- Manage vendor relationships for services such as janitorial, landscaping, pest control, coffee service, and equipment maintenance (water, ice machines, etc.).
- Address facility issues including plumbing, roofing, cabinetry, and general repairs.
- Coordinate cleaning priorities with janitorial staff to maintain facility standards.
Project & Operational Support
- Assist with departmental reporting (e.g., operational reports, district highlights).
- Support company events, meetings, conferences, and visitor coordination.
- Set up conference rooms and enhance overall office presentation and hospitality.
- Contribute to continuous improvement initiatives, including process documentation and workflow enhancements,
- High school diploma or GED required, associate's degree preferred.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational, multitasking, and time-management skills.
- Excellent verbal and written communication skills.
- Ability to work independently and collaboratively in a team environment.
- Experience with office management systems is a plus.
- Strong interpersonal skills with a customer-focused mindset
