Description of Work

The Administrative Specialist I supports the child care background check process by reviewing applicant information, managing confidential records, and ensuring all documentation is accurately entered and maintained in a central database. It evaluates background check results and related information to determine whether applicants meet eligibility requirements for work in child care settings.
This role provides customer service through the CBC Call Center by responding to phone and email inquiries and making independent decisions that may require supervisory escalation. It also performs document management tasks, including filing, shredding, and maintaining digital and physical records for daily operations and performance tracking. The position occasionally conducts local travel to deliver fingerprints and retrieve results and completes additional assignments as directed by management.
Key Duties Include:
- Receive and review background check information submitted by applicants through a central database.
- Handle confidential applicant information by entering, verifying, and uploading data into the central system.
- Manage document workflows by filing, shredding, and organizing digital and physical records.
- Log and report daily activity data to support operational tracking and performance monitoring.
- Evaluate applicant information to determine eligibility for employment in child care settings.
- Provide customer service through the CBC Call Center by responding to phone and email inquiries and making independent decisions.
- Escalate complex or sensitive customer service issues to supervisory staff when necessary.
- Drive locally to the SBI office to deliver fingerprint submissions and retrieve results as required.
- Maintain organized records and documentation supporting background check processes and daily operations.
- Complete additional assignments as directed by management to support unit operations.

Knowledge Skills and Abilities/Management Preferences

Salary Grade Range: $39,244.00 - $68,679.00
Recruitment Range: $39,244.00 - $45,080.00

  • Established record of providing customer service in a call‑center environment by independently resolving inquiries and escalating complex issues when needed.

  • Documented experience completing operational tasks such as transporting fingerprint documents to external partners and supporting additional assignments required for daily workflow.

About the Criminal Background Check Unit (CBC):

The Division of Child Development Early Education Criminal Background Check Unit performs background checks for several programs within DHHS, such as child care, foster parents, adoptive parents, and DHHS Personnel applicants. The Criminal Background Check Unit provides valuable services to providers, other units within DHHS and the public.
