Western Door Federal is seeking a highly organized and task‑oriented Administrative Support Specialist / Administrative Analyst to provide administrative and coordination support in collaboration with the Executive Assistant. This role focuses on execution, task ownership, and follow‑through, ensuring administrative requirements are tracked, managed, and completed accurately and on time.

The ideal candidate is comfortable working independently, managing multiple priorities, and synthesizing requirements into actionable tasks while supporting leadership operations.

Responsibilities include, but are not limited to:

  • Support the Executive Assistant by independently managing assigned administrative tasks, action items, and requirements.
  • Track, coordinate, and follow up on administrative actions to ensure deadlines and deliverables are met.
  • Maintain task trackers, schedules, and status reports to provide visibility into progress and completion.
  • Prepare administrative documentation, materials, and summaries in support of leadership activities.
  • Provide administrative processing and tracking support for personnel and HR‑related documentation, including packet preparation and routing.
  • Coordinate and track administrative operations such as records management, facilities or space support activities, and service requests.
  • Communicate with internal teams and external service providers to support timely resolution of administrative needs.
  • Identify execution gaps or delays and proactively propose solutions to improve follow‑through and efficiency.

Basic Qualifications:

  • Bachelor’s degree in Business Administration, Management, or a related field, or equivalent experience.
  • Experience providing administrative or operational support in a professional or structured environment.
  • Strong organizational skills with the ability to manage multiple tasks simultaneously.
  • Ability to work independently and take ownership of assigned responsibilities.
  • Excellent attention to detail and commitment to accuracy and timeliness.
  • Strong written and verbal communication skills.
  • Proficiency with Microsoft Word, Excel, Outlook, and related productivity tools.

Desired Skills:

  • Experience supporting senior leaders or executive‑level staff.
  • Prior experience in a federal government or DHA‑adjacent environment.
  • Familiarity with administrative task tracking, records management, or personnel action support.
