The Administrative / Virtual Assistant provides reliable administrative, organizational, and virtual support to help ensure daily business operations run efficiently. This position may support executives, managers, teams, clients, or customers by managing schedules, emails, documents, data, communications, meetings, and other administrative tasks.
The ideal candidate is highly organized, dependable, professional, detail-oriented, and comfortable working independently in a remote or office environment. The position requires strong communication skills, computer proficiency, discretion, and the ability to manage multiple priorities while meeting deadlines.
Essential Duties and Responsibilities
- Manage calendars, appointments, meetings, and schedules.
- Schedule and coordinate virtual and in-person meetings.
- Monitor and organize email inboxes and respond to routine correspondence as directed.
- Draft, format, proofread, and organize business documents, letters, reports, presentations, and spreadsheets.
- Enter, update, and maintain information in databases, spreadsheets, CRM systems, and other company software.
- Maintain organized electronic and physical files and records.
- Prepare meeting agendas, notes, action items, and follow-up communications.
- Make phone calls and respond to routine inquiries from customers, vendors, employees, and business contacts.
- Coordinate travel arrangements, reservations, itineraries, and related documentation when required.
- Assist with invoices, expense reports, purchase orders, receipts, and other administrative records.
- Conduct internet research and compile information into organized reports or summaries.
- Create and maintain spreadsheets, lists, presentations, and administrative reports.
- Assist with customer service and follow up on requests or outstanding issues.
- Coordinate tasks and information between departments, clients, vendors, and management.
- Track deadlines, projects, appointments, and follow-up items.
- Maintain confidentiality of company, customer, financial, and personal information.
- Assist with online meetings, video conferences, and virtual communication platforms.
- Help manage digital files, cloud storage, shared folders, and online documents.
- Monitor administrative tasks and ensure assignments are completed on schedule.
- Assist with special projects and other administrative duties as assigned.
Virtual Assistant Responsibilities
When working remotely, the Virtual Assistant may also be responsible for:
- Maintaining reliable communication during scheduled working hours.
- Managing tasks through project-management or collaboration platforms.
- Attending virtual meetings and providing administrative support.
- Maintaining an organized remote workspace.
