Provide remote administrative support including calendar and email management, document and report preparation, CRM and database maintenance, basic bookkeeping and expense tracking, travel coordination, project coordination, data entry, and confidential support for leadership.
We are seeking a detail-oriented, proactive Virtual Assistant to support daily administrative, organizational, and communication needs. The ideal candidate is highly organized, comfortable working independently in a remote environment, and able to manage multiple priorities with minimal supervision.
Key Responsibilities
- Manage and organize calendars, schedule meetings, and coordinate appointments across time zones
- Handle email correspondence, including drafting, sorting, and responding to routine inquiries
- Prepare reports, presentations, spreadsheets, and other documents as needed
- Conduct research on assigned topics and summarize findings
- Maintain and update databases, CRM systems, or internal trackers
- Coordinate travel arrangements when required
- Assist with basic bookkeeping or expense tracking tasks
- Manage file organization and document storage (cloud-based systems)
- Support project coordination, including tracking deadlines and deliverables
- Handle data entry tasks with a high degree of accuracy
- Provide general administrative support to leadership or team members as assigned
- Maintain confidentiality of sensitive company and client information
Required Qualifications
- Proven experience as a Virtual Assistant, Administrative Assistant, or similar role
- Excellent written and verbal communication skills
- Strong organizational and time-management skills
- Proficiency with common productivity tools (Google Workspace, Microsoft Office, etc.)
- Familiarity with project management or scheduling tools (Asana, Trello, Calendly, etc.)
- Reliable internet connection and a dedicated home workspace
- Ability to work independently and meet deadlines with minimal oversight
- High level of discretion and professionalism
Preferred Qualifications
- Experience with CRM platforms (HubSpot, Salesforce, etc.)
- Basic knowledge of bookkeeping or financial tracking software (QuickBooks, etc.)
- Prior remote work experience
- Associate's or Bachelor's degree (preferred, not required)
