Job Description

Provides administrative support to the Sr. Business Development Manager and Legal Recruiting Specialist, by assisting with marketing initiatives, recruiting programs, and related administrative functions.

Primary Responsibilities and/or Essential functions:

  • Support marketing and recruiting initiatives.
  • Prepare and finalize correspondence, memoranda, reports, and other documents.
  • Maintain files and document telephone messages.
  • Assist with fall, IL and summer recruiting programs, including interview schedules, processing clerk/attorney rejection letters, and additional correspondence.
  • Input and maintain recruiting resumes in the viRecruit database.
  • Process departmental check requests and reimbursements, and coordinate with the Accounting Department to maintain timely payment processing.
  • Assist with Firm special projects/events and Firm ticket requests.
  • Complete and submit electronic weekly timesheets and PTO requests to manager in a timely manner.
  • Develop and maintain excellent customer service relationships with clients, attorneys, administrative staff, students, candidates, and vendors.  
  • Participate in training classes and complete annual training requirements for skills enhancement.
  • Maintain confidentiality of all Firm matters and perform under the guidelines of the Firm’s Administrative Staff Principles.
  • Attend various after-hours recruiting and marketing events, as needed by management.
  • Perform additional responsibilities as required by management.

Knowledge, Skills & Abilities:

  • 1+ years legal experience preferred in order to perform administrative duties in a professional law firm environment.
  • Marketing and/or Recruiting experience in a law firm preferred.
  • Ability to organize and prioritize numerous tasks and complete them under time constraints.
  • Ability to proofread printed material for grammatical, typographical and spelling errors.
  • Must be highly motivated, organized, accurate and detail-oriented with the ability to prioritize and handle multiple tasks.
  • Exhibits working knowledge of Firm’s software, including Word, Excel, Outlook, and the Firm’s CRM and Recruiting databases. Knowledge with Canva software preferred.
  • Flexibility with work schedule, as overtime might be needed occasionally.

Education/Certifications:

  • Bachelor's degree preferred.
