Job Summary
The On Boarding Coordinator provides administrative and operational support to the Recruiting Department by managing all aspects of the driver onboarding process. This position ensures that all pre-employment, compliance, and orientation requirements are completed accurately and on time. The Onboarding Coordinator serves as a key point of contact for new drivers, ensuring a smooth transition from candidate to employee while maintaining compliance with company policies and DOT regulations.
Essential Duties and Responsibilities
- Coordinates and track completion of all pre-employment requirements, including DOT drug screens and physical examinations, ensuring compliance prior to hire.
- Reviews and validate CDL information to confirm all endorsements and restrictions align across the driver’s application, MVR, and license documentation.
- Guides drivers through the online orientation process, new hire paperwork, and I-9 completion, providing clear instructions and support to ensure timely and accurate submission.
- Facilitates and document completion of FMCSA Clearinghouse full query, ensuring all required consent and compliance steps are met before onboarding.
- Maintains detailed file documentation, including driver contact attempts, follow-ups, and overall onboarding progress, to ensure audit-ready compliance and transparency.
- Other duties as assigned.
Requirements
• High school diploma or GED required
• 1–3 years of administrative experience; experience in recruiting, transportation, or HR preferred.
• Ability to multitask and manage time effectively in a fast-paced environment.
• Ability to handle confidential information with discretion.
• Proficient with Microsoft Office Suite (Word, Excel, Outlook, Teams).
• Effective communication, interpersonal, and problem-solving skills.
• Strong organizational skills with exceptional attention to detail.
