Job Title: Business Development Coordinator

Reports To: Vice President of Business Development

Business Development Coordinator Position Summary

We are seeking a motivated and organized Business Development Coordinator to support our growing sales efforts, with a particular focus on expanding the sale of reusable aluminum cups in emerging markets. This role is pivotal in supporting the sales team through streamlined reporting, communication, and coordination, while helping drive sustainable product adoption in new global regions. The coordinator will consolidate, analyze, and forward daily action summaries to management and provide administrative support to the Business Development Managers.

Business Development Coordinator Key Responsibilities

  • Accurately review and approve sales orders entered by Business Development Team, ensuring completeness and compliance with company standards.
  • Accurately review and approve vendor billing for business development operations based on negotiations with vendors and customers. Informing Business Development team of any adder fees.
  • Accurately update and maintain department Work Instructions and SOPs
  • Schedule, prepare and keep records of the meetings internal and with customers and vendors
  • Provide administrative support to Business Development Managers
  • Assist with documentation for logistics, compliance, and market-entry strategies as needed
  • KPI tracking and management, supporting Business Development team on achieving its goals
  • Act as a liaison between customers and mills to ensure accurate and timely order fulfillment.
  • Ensure appropriate stock levels are maintained to meet demand while minimizing excess storage costs.
  • Monitor inventory levels across warehouses to prevent stockouts or overstock situations.
  • Conduct inventory audits by reconciling physical stock with digital records in the ERP system (NetSuite).
  • Identify and resolve inventory discrepancies in coordination with warehouse and trading teams.
  • Coordinate with carriers, trucking companies, freight forwarders, and shipping lines to schedule pickups and deliveries.
  • Prepare and manage shipping documentation, including Bills of Lading (BOL), packing lists, and customs paperwork for international shipments.
  • Track shipments in transit and proactively communicate delays, issues, or changes to relevant stakeholders.
  • Support smooth inbound and outbound logistics to ensure on-time delivery and cost efficiency.
  • Maintain and support the upstream supply chain by communicating with suppliers and vendors.
  • Track vendor performance, including lead times, product quality, and pricing consistency.
  • Assist with sourcing research and evaluation of potential new suppliers.
  • Resolve issues such as damaged shipments, quantity discrepancies, or incorrect invoices, including negotiating credits or returns when needed.
  • Collaborate with Traders on demand forecasting to determine product requirements for upcoming months.
  • Identify operational bottlenecks within warehousing, logistics, or order flow and propose process improvements to reduce costs or improve efficiency.
  • Enter and maintain accurate data in NetSuite and generate reports as required to support decision-making.
  • Support day-to-day operational planning to keep trading and supply chain activities running smoothly.

Business Development Coordinator Qualification Requirements

  • 1–3 years of experience in trading support, supply chain, logistics, or operations
  • Experience working with warehouses, transportation providers, or international shipments
  • Bachelor’s degree in Supply Chain Management, International Business, or a related field

Preferred Qualifications

  • Experience in distribution, manufacturing, or supply chain environments
  • Strong organizational and multitasking skills with attention to detail
  • Clear and professional communication skills for interacting with customers, suppliers, and carriers
  • Comfort working with ERP systems (NetSuite experience preferred)
  • Basic understanding of logistics, inventory management, or supply chain operations
  • Strong problem-solving mindset and ability to handle issues proactively
  • Proficiency in Microsoft Excel
