THE ROLE

The Cold Email Operations Manager serves as the execution engine behind DigitalMarketing.com’s outbound email programs, responsible for building, managing, and optimizing cold email systems at scale. This role oversees the full lifecycle of cold email campaigns—from infrastructure setup and deliverability optimization to deployment, testing, and performance reporting. This individual will ensure that client campaigns achieve strong inbox placement, high reply rates, and consistent scalability. Acting as both a systems builder and performance operator, the role requires technical knowledge of cold email infrastructure alongside a results-driven mindset focused on measurable outcomes. 


KEY RESPONSIBILITIES 

Cold Email Infrastructure & Deliverability

  • Build, manage, and scale cold email infrastructure including domains, inboxes, DNS configuration (SPF, DKIM, DMARC), and warm-up systems 
  • Monitor and optimize deliverability, ensuring high inbox placement and minimizing spam risk
  • Continuously audit and improve sending reputation, domain health, and IP performance
  • Stay up to date with email provider policies (Google, Microsoft, etc.) and adapt systems accordingly 

Campaign Deployment & Execution 

  • Oversee the setup, launch, and management of client cold email campaigns across multiple platforms
  • Coordinate campaign scheduling, segmentation, and sending strategies
  • Implement A/B testing frameworks for subject lines, messaging, and sequences
  • Ensure campaigns are deployed accurately, on time, and at scale 

Performance Optimization & Reply Rates 

  • Analyze campaign performance with a focus on reply rates, open rates, and conversion metrics
  • Identify performance bottlenecks and implement improvements in targeting, messaging, and technical setup
  • Collaborate with copy and strategy teams to align messaging with deliverability best practices
  • Continuously iterate on campaigns to maximize client outcomes 

Reporting & Client Insights 

  • Create dashboards and reporting systems to track campaign performance and KPIs
  • Provide clear, actionable insights to internal teams and leadership
  • Ensure accurate tracking of metrics across campaigns and clients
  • Translate data into recommendations that improve campaign performance 

Operational Excellence 

  • Establish processes, SOPs, and quality control systems for campaign execution
  • Troubleshoot technical issues quickly and effectively
  • Maintain a high standard of accuracy, organization, and documentation
  • Proactively identify risks and implement preventative solutions 

QUALIFICATIONS 

  • 3–5+ years of experience in cold email operations, email deliverability, or outbound marketing systems
  • Proven experience managing cold email infrastructure at scale
  • Hands-on experience with cold email platforms
  • Strong analytical skills with the ability to interpret campaign data and optimize performance
  • Experience improving reply rates and overall campaign effectiveness
  • Highly organized with the ability to manage multiple campaigns simultaneously
  • Technical mindset with strong problem-solving capabilities
  • Ability to thrive in a fast-moving, performance-focused environment
