Position Overview

The Contracts Analyst & Legal Support Specialist plays a critical role in assisting Real Estate department with Lease Review and Analysis. This dual-impact role involves meticulously reviewing and auditing commercial lease agreements, verifying key financial and contractual terms, managing critical lease deadlines, and assisting executive leadership with small claims matters and general legal coordination with outside firms.

Key Responsibilities

Commercial Lease Review & Contract Administration

  • Review, audit, and analyze commercial lease agreements, amendments, renewals, and submetering contracts for accuracy and compliance.
  • Abstract key lease terms, including commencement dates, rent schedules, option periods, Common Area Maintenance (CAM) charges, operating expenses, and termination clauses into our portfolio tracking system.
  • Audit landlord billing statements, annual CAM reconciliations, and property tax assessments to ensure strict alignment with contract terms and prevent overpayments.
  • Track critical lease dates (renewals, expirations, notice periods, rent escalations) and collaborate with real estate and leadership teams on timely actions.
  • Serve as the primary liaison between Mobilelink, retail landlords, and property management companies regarding lease interpretation and dispute resolution.

Paralegal & Small Claims Support

  • Research, prepare, and organize documentation for small claims disputes, store-level legal matters, and contract collection efforts.
  • Draft demand letters, responses, settlement documentation, and legal correspondence under executive or external legal counsel direction.
  • File small claims paperwork, monitor court dockets, and track case statuses through resolution.
  • Organize and maintain central legal files, corporate compliance documentation, and contract repositories.
  • Assist in gathering evidence, records, and internal disclosures for general corporate litigation or vendor disputes.

Qualifications

Qualifications & Skills

  • Education & Credentials: Associate or Bachelor’s degree required; Paralegal Certification (CP/CLA or ABA-approved program) strongly preferred.
  • Experience: 3+ years of experience in commercial lease administration, real estate paralegal work, or corporate contract analysis (retail or multi-unit experience is a major plus).
  • Technical Skills: Proficiency in real estate management software/lease abstracting tools, MS Office (Excel, Word), and court filing databases.
  • Core Competencies:
    • Exceptional attention to detail with strong analytical and auditing abilities.
    • Deep understanding of commercial lease terminology, financial mechanics, and retail real estate operations.
    • Solid working knowledge of small claims court procedures, filing guidelines, and legal document preparation.
    • Clear, professional written and verbal communication skills for interfacing with landlords, attorneys, and internal executives.
    • Ability to prioritize multiple tight deadlines and maintain absolute confidentiality.
