Description

Circuit of The Americas (COTA) is a 365-entertainment destination for world-class events located in Austin, TX. The sports and entertainment portfolio at COTA is unmatched in the country with Formula 1 US Grand Prix, NASCAR and MotoGP attracting global fans during championship races on the famed Circuit and Live Nation producing over 30 headline concerts every year at the Germania Insurance Amphitheater. COTALAND is an amusement park with over 30 attractions and experiences, including first-of-their-kind roller coasters.

The Scheduler is responsible for creating and posting weekly crew schedules for assigned operational areas within COTALAND. This role partners with both the Finance and operational teams on labor budgets, forecasting data, operational needs and staffing requirements. The Scheduler builds schedules that align labor deployment with forecasted attendance, labor targets, and operational demands. 

Requirements

Essential Functions

  • Build and post weekly crew schedules for assigned operational areas based on forecasted attendance, labor budgets, and operational requirements.
  • Partner with the larger Finance team to incorporate labor targets, budget parameters, and forecasting data into schedule creation.
  • Monitor scheduling efficiency and identify opportunities to optimize labor deployment against budgeted targets.
  • Maintain accurate scheduling data in the workforce management system, including position assignments, availability records, and staffing templates.
  • Partner and coordinate with departmental leadership to understand operational needs, and any known scheduling changes or constraints.
  • Assist in the maintenance and updating of scheduling templates as operational needs, hours of operation, or staffing models change.
  • Support peak operational periods, special events, and seasonal staffing transitions with adjusted scheduling plans.

Knowledge, Skills, and Abilities

  • Strong attention to detail and ability to work with large volumes of scheduling and labor data accurately.
  • Comfort working with numbers, spreadsheets, and workforce management systems.
  • Ability to manage competing priorities and meet weekly scheduling deadlines consistently.
  • Effective communication skills to coordinate across Finance and operational departments without direct authority over either.
  • Problem-solving ability to balance labor targets with real-world operational coverage needs.
  • Proficiency in Microsoft Excel.

Required Qualifications

  • Must be at least 18 years of age.
  • Minimum 1 year of experience in scheduling, workforce management, labor planning, or a related administrative function.
  • Must be available to work a flexible schedule that supports weekly scheduling deadlines, which may occasionally include weekends during peak periods.

Preferred Qualifications

  • Associate's or bachelor's degree in business, finance, or a related field.
  • Previous experience in theme park, attractions, hospitality, or high-volume entertainment operations.
  • Experience with Paylocity scheduling or workforce management modules.
  • Experience with Optim8 or similar labor forecasting tools.
  • Experience building schedules for hourly, high-volume workforces with variable demand patterns.
